Position Summary
HealthBridge Children’s Hospital is seeking a detail-oriented, patient-focused Outpatient Therapy Scheduler to support our pediatric Physical Therapy (PT), Occupational Therapy (OT), and Speech Therapy (ST) programs. The Scheduler will be responsible for coordinating outpatient appointments, maintaining accurate documentation, and ensuring prompt, professional communication with families, therapists, and referring providers. The ideal candidate is organized, friendly, and committed to delivering excellent customer service to our pediatric population and their families. Spanish-speaking candidates are strongly preferred to better serve our diverse community.
Key Responsibilities
- Schedule outpatient therapy evaluations and follow-up therapy appointments for pediatric PT, OT, and ST services.
- Coordinate scheduling needs with therapists, families, referring providers, and clinical staff.
- Confirm insurance authorization requirements prior to scheduling when applicable.
- Contact families to confirm appointment times, reschedule as needed, and manage waitlists.
- Maintain accurate and up-to-date information in the scheduling system and EMR.
- Provide exceptional customer service to families by answering questions, addressing concerns, and ensuring a smooth scheduling experience.
- Collaborate with clinical leadership and administrative teams to optimize scheduling processes and daily clinic flow.
- Assist with collecting and updating demographic and insurance information.
- Follow departmental policies, including cancelation and no-show procedures and documentation standards.
- Uphold patient confidentiality and comply with HIPAA requirements.
Qualifications
- High school diploma or equivalent required; associate degree or relevant coursework preferred.
- Prior experience in healthcare scheduling, pediatric services, therapy clinics, or medical front office strongly preferred.
- Strong customer service and communication skills; ability to work professionally with families under stress.
- Spanish speaking preferred to support our bilingual families.
- Proficient with computers and comfortable learning scheduling and EMR systems.
- Excellent time management, organization, and attention to detail.
- Ability to work independently and as part of a team.
