The Call Center Associate is primarily responsible for managing patient access to the clinic by identifying and responding to patient needs. Primary responsibilities include managing the telephone traffic into the clinics by delivering service to the patient or transferring to the appropriate department/location with preparatory information for expedited service. Managing patient demographic and contact information is a high priority during all patient contacts. The Call Center Associate influences patient flow and the general pace of daily clinic business through scheduling decisions and work pace.

PRINCIPLE DUTIES
- Manage inbound telephone traffic traffic within the clinic.
- Greet all patients and visitors promptly and pleasantly.
- Responsible for answering incoming calls as outlined in organizational protocols, screening calls for physicians, and transferring calls to other staff as necessary.
- Schedule patient appointments and assist patients with rescheduling requests as received.
- Explain policies to patients and provide information to patients as necessary.
- Responsible for maintaining a complete understanding of appointment scheduling guidelines.
- Schedule patient appointments, ensuring time is allotted for special procedures or lengthy exams.
- Reschedule patients as instructed by the Service Line Manager during times when providers will be out of the office.
- Update required clerical information for all established patients.
- Assist with completing patient reminder calls, scheduling follow-up appointments, contacting patients due for recall appointments.
- Provide superior customer service to all patients, external customers (office staff of other offices, hospital, community agencies, etc.), and co-workers. Serve as an ambassador of the White House Clinics in all conversations and interactions with these parties.
- Assist with other duties or in other departments as instructed by supervisor.
