PRIMARY FUNCTION
The Patient Financial Services Associate ensures patient claims are effectively processed to the appropriate payor source. The position is responsible for remittance, advice, customer courtesy, and filing.

PRINCIPLE DUTIES

  • Prepare and submit clean claims electronically or by paper to various insurance companies.
  • Work directly with the insurance company, healthcare provider, and patient to get claims processed and paid. Process payments received from insurance companies. Review and appeal unpaid and denied claims.
  • Complete departmental filing of EOB’s and reports.
  • Answer patient questions on patient responsible portions, co-pays, deductibles etc., and resolve patient complaints or explain why certain services are not covered.
  • Prepare and send patient statements.
  • Perform various collection actions including contacting patients by phone, correcting and resubmitting claims to third party payers, and working with patients to establish budget plans for unpaid balances.
  • Process refunds for patients and insurance companies.
  • Complete credentialing and re-credentialing of providers as needed.
  • Provide superior customer service to all patients, external customers (office staff of other offices, hospital, community agencies, etc.), and co-workers. Serve as an ambassador of the White House Clinics in all conversations and interactions with these parties.
  • Assist with other duties or in other departments as instructed by supervisor.

ACCOUNTABILITY
Accountable to the Patient Financial Services Team Leader, and ultimately the Billing Manager. Responsible for keeping the Billing Manager informed of billing department activities, and of problems that may arise.

SUPERVISION
No direct supervisory responsibilities.

TYPICAL WORKING CONDITIONS
Work is performed in an office environment. Involves frequent contact with staff and public. Work is stressful at times. Contact may involve dealing with angry or upset people. Occasional overtime required.

TRAVEL REQUIREMENTS
Regular travel is not a requirement for this position.

WORK HOURS
37.5 hours per week, subject to wage and hour laws.

SALARY
Starting at $15.04 per hour, based on experience.

JOB REQUIREMENTS
Minimum Education: High school diploma or GED required. Post-secondary education preferred.
Minimum Experience: No experience required, however candidates with prior billing experience will be given preference.
Required License: None.

Qualifications
Successful applicants will be knowledgeable of insurance and reimbursement process, have a familiarity of HIPAA privacy requirements for patient information, and a basic understanding of ICD-10 and CPT/HCPC billing codes. Applicants must be proficient in medical terminology.. Must have strong written and verbal communication skills as well as strong telephone and patient relation skills. Successful candidates will be detail oriented and have the ability to prioritize work.
