PRIMARY FUNCTION
The Patient Access Associate greets patients and visitors, acts as intermediary between patients and clinical staff, and ensures accuracy of patient demographic and billing information in the electronic practice management system. The Patient Access Associate influences patient flow and the general pace of clinic business through scheduling decisions. The Patient Access Associate works as part of an integrated care team to provide high quality coordinated care.

PRINCIPLE DUTIES
  • Offer every visitor to the organization an exemplary service experience.
    • Greet all patients and visitors promptly and pleasantly. Explain policies to patients and distribute patient information sheets, when appropriate.
    • Receive and manage in-bound telephone traffic using proper greetings determined by the organization, and screen calls for physicians. Transfer calls to other staff as necessary.
    • Assist clients needing minimal assistance
  • Respond to patient requests for appointments, scheduling the appointment at a time most convenient to the patient, taking into consideration:
    • The scheduling requirements outlined in the organizational scheduling guidelines;
    • The reason for appointment provided;
    • The availability of the patient's Primary Care Provider; and
    • The amount of time required for special procedures or lengthy exams.
  • Conduct patient check-in workflows.
    • Collect, update, and/or verify all demographic information stored in the practice management system
    • Collect and scan insurance information at EVERY visit and upload to appropriate patient chart.
    • Validate insurance effective dates and policy numbers at initial visit
    • Verify continued coverage at subsequent visits.
  • Enforce established financial policies and collect patient payments.
  • Inform all patients of the sliding fee program.
    • Refer patients to Financial Counselor as appropriate.
    • In absence of Financial Counselor, initiate patient qualification for the sliding fee program.
  • Promptly update workflow tags as incoming patients are processed.
  • Notify clinical support staff that patient is ready for intake.
  • Maintain waiting room for optimal customer experience and monitor waiting room to ensure timely flow of patients.
  • Complete check-out procedures
    • Complete follow up orders entered by provider.
    • Provide documentation (school/work excuse, release of information, etc.) to patient as directed by provider.
  • Complete end-of-day reconciliation and nightly deposit.
  • Follow up on “no show” patients and recall lists according to organizational procedure and inform physician when follow-up contact is not successful.
  • Complete and document patient reminder calls on a daily basis.
  • Assist with other duties or in other departments as instructed by supervisor.
ACCOUNTABILITY
Reports to the Patient Access Team Leader and Service Line Manager.

None.
TYPICAL WORKING CONDITIONS
Work is performed in a medical office environment and involves frequent contact with staff and the public. Position may involve dealing with angry or upset people. Evening work is required. Work may be stressful at times.
TRAVEL REQUIREMENTS
Regular travel is not requirement for this position, however, employee may occasionally be asked to provide coverage at another clinic location.
WORK HOURS
37.5 hours per week, subject to wage and hour laws. Occasional overtime may be required.
SALARY
Starting at $15.04 per hour, based on experience.

JOB REQUIREMENTS
Minimum Education: High School Diploma or GED
Minimum Experience: No experience required, however candidates with prior medical office experience will be given preference.
Required License: None.
Qualifications
Successful applicants will be mature and well organized with pleasant personality and speaking voice. This position provides the first impression of our clinic and requires a professional appearance, and a warm, friendly demeanor. Must have basic knowledge of medical office procedures, general computer skills, and the ability to read a time schedule. Position requires skills in verbal and written communication and multi-tasking. Proficient time management and organizational skills. Candidates must possess skill in establishing and maintaining effective, understanding, and courteous working relationships with patients, medical staff, and the public.
