Responsibilities
- Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression.
- Manage multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette.
- Handle all front desk duties including answering inquiries, scheduling appointments, and maintaining visitor logs.
- Oversee office management tasks such as filing, data entry, proofreading documents, and maintaining organized records.
- Utilize computer skills to operate Microsoft Office Suite, Google Workspace, QuickBooks, and other office software for administrative tasks.
- Coordinate calendar management and appointment scheduling for staff or executives with attention to detail.
- Support clerical functions such as photocopying, faxing, mailing, and managing office supplies inventory.
- Assist with bookkeeping activities including basic data entry and record keeping using QuickBooks or similar accounting tools.
- Maintain professionalism in all interactions, demonstrating strong organizational skills and time management to handle multiple priorities efficiently.
- Provide support as a personal assistant or medical/dental receptionist when needed, adapting to various administrative roles.
- Lead and manage front desk staff.
Experience
- Proven office management or administrative experience in a fast-paced environment.
- Strong customer service background with excellent communication skills in both bilingual settings preferred.
- Familiarity with multi-line phone systems, data entry, filing systems, and clerical procedures.
- Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and basic bookkeeping software like QuickBooks.
- Experience handling phone etiquette with professionalism and clarity.
- Ability to multitask effectively while maintaining accuracy in proofreading and data entry tasks.
