Job description
We are seeking an experienced and detail-oriented Admin Dealer Service Representative to support our Agent Dealer Service team with daily administrative operations and dealer support activities.
The ideal candidate will be comfortable working across multiple departments, communicating directly with agents and dealers, managing administrative workflows, and supporting operational processes in a fast-paced environment.
This role requires strong organizational skills, adaptability, attention to detail, and prior experience within the warranty or service contract industry, particularly on the administrative side of operations.
Preference will be given to candidates located in the DFW area.
**Prior experience in the warranty, vehicle service contract: 2 years (Required)**
Key Responsibilities
- Support the Agent Dealer Service team with daily administrative and operational tasks
- Communicate professionally with agents, dealers, and internal departments
- Assist with warranty cancellations, chargebacks, remittance processing, and related administrative functions
- Maintain accurate records, data entry, and account documentation
- Work within CRM systems and operational platforms to manage dealer and account information
- Assist with troubleshooting account, processing, or operational issues
- Review and organize reports, spreadsheets, and internal documentation
- Support multiple departments and projects simultaneously while maintaining accuracy and efficiency
- Provide high-level customer service and follow-up support
- Assist with collections-related administrative tasks when needed
Qualifications
- Prior experience in the warranty, vehicle service contract, or related industry preferred
- Experience with CRM and operational systems such as:
- PCMI,
- Tech-Assured,
- HubSpot,
- or similar platforms preferred
- Strong Microsoft Office skills required, especially:
- Excel,
- Outlook,
- Word,
- and data management functions
- Strong data entry accuracy and speed
- Experience with:
- warranty cancellations,
- chargebacks,
- remittance,
- and dealer/account administration preferred
- Collections experience is a plus
- Strong customer service, communication, and follow-up skills
- Ability to multitask and work in a fast-paced environment
- Strong critical thinking and troubleshooting abilities
- Highly organized with strong attention to detail
