Policies and Cancellation Clerk

The Policies and Cancellation Clerk is responsible for reviewing, processing, and maintaining all dealership policy cancellations and related financial transactions. This position supports dealership operations by ensuring the accuracy of policy records, timely processing of cancellations, and proper reconciliation of associated accounts.

Responsibilities (including but not limited to):

  • Review all deal documentation to ensure the correct policies are active and accurately recorded
  • Cancel duplicate or incorrect policies promptly upon deal submission
  • Process and manage vehicle cancellations, including customer requested cancellations, lender requested cancellations and trades
  • Verify and maintain accurate cancellation records in the system
  • Process payments to warranty companies and post the remittance
  • Maintain accurate and up to date cancellation schedules
  • Coordinate with various departments to ensure timely resolution of cancellation issues
  • Communicate with customers, dealerships, and finance institutions regarding cancellation status and documentation
  • Ensure compliance with company policies, state regulations, and industry standards related to cancellations
  • Assist with auditing and reporting related to cancellation activities
  • Assist with answering incoming calls to the accounting department during high-volume periods
  • Perform other duties as assigned

Qualifications:

  • Adhere to Headquarter Toyota's dress code policy
  • Prior experience in accounting and automotive dealership operations preferred, preferably in cancellations
  • Strong attention to detail and accuracy in financial and document processing
  • Effective communication and customer service skills
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment
  • Must have Excel experience
  • CDK Experience preferred

Work Environment:

This position operates in an office setting within a dealership environment and requires regular interaction with customers, internal departments, and financial institutions. The position may involve extended periods of sitting, review documents, and working on a computer.
