We’re a small, fast-moving team, and we’re looking for a proactive, detail-driven Business Manager to help manage our rapid growth and keep business operations running seamlessly.



Position Overview

As Business Manager, you’ll help manage the core administrative and operational functions that keep Headline running day to day; including finances, internal system, payroll, accounts payable/receivable, contracts, and invoicing. You’ll work closely with the Managing Director to ensure that business processes are organized, efficient, and compliant as the company continues to grow. This role is ideal for someone who’s detail-oriented, proactive, and comfortable wearing many hats in a fast-paced environment.

While the role is primarily office-based, it includes on-site event presence and occasional travel to support event operations and administrative oversight.



Key Responsibilities

• Manage daily administrative and financial processes, including accounts payable/receivable, payroll preparation, and expense tracking


• Support development of proposals, budgets, and client estimates, ensuring documents are organized and presentation-ready


• Help manage and balance event and company books, local sales tax tracking, reconciling expenses and maintaining accurate financial records


• Track and reconcile worker time across employees and contractors, ensuring accuracy between time logs, payroll, and project budgets


• Maintain organized systems for contracts, vendor documentation, insurance certificates, tax filings, and internal reports


• Coordinate vendor onboarding and compliance, including tracking agreements, COIs, and W-9s


• Track employee certifications, licenses, and required documentation to ensure compliance and accurate recordkeeping.


• Assist with HR and personnel administration, including onboarding, time tracking, and maintaining employee and contractor files


• Provide administrative and logistical support during live events, including budget tracking, check-ins/outs, invoice tracking, and documentation management


• Contribute to ongoing improvements in internal systems, policies, and compliance procedures


• Handle confidential financial, HR, and legal information with discretion and professionalism


Qualifications

• 3 years of administrative, operations, or business coordination experience

• Strong technical acumen and comfort working across multiple business systems (e.g., project management, accounting and payroll platforms)

• QuickBooks and Google Sheets knowledge a plus

• Skilled in organizing, tracking, and reconciling financial data across multiple projects

• Experience managing worker time tracking and reconciliation between systems

• Highly organized with excellent attention to detail and follow-through

• Familiarity with contracts, invoicing, payroll systems, and insurance documentation

• Strong written and verbal communication skills

• Ability to manage multiple priorities in a fast-paced, deadline-driven environment

• Professional, trustworthy, and capable of handling sensitive information with discretion



Compensation & Benefits

• Annual salary: $70,000 – $80,000 (commensurate with experience)

Physical and Work Environment Requirements

• Must be able to remain in a stationary position (e.g., at a desk or computer) for extended periods during office hours

• Ability to move about event sites, including uneven or outdoor terrain

• Comfortable working occasionally in loud, crowded, cold, hot or dark environments (e.g., outdoor festivals or live events)

• Must be able to lift up to 30 pounds occasionally (e.g., boxes, paperwork, or small equipment)

• Ability to use standard office equipment and software systems effectively

• Must be available for some limited travel and nights or weekends surrounding major event weeks
