Duties

  • Manage front desk responsibilities, greeting church members and visitors with a friendly, professional demeanor while maintaining a positive first impression.
  • Operate phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette.
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools.
  • Handle scheduling tasks, including calendar management for executives or team members, coordinating meetings, appointments, and conference room bookings.
  • Assist with clerical duties such as filing, proofreading documents, managing correspondence, and organizing office supplies.
  • Support bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial record-keeping.
  • Provide customer service support by addressing inquiries, supporting client needs, and ensuring a positive experience for all visitors and callers.
  • Maintain office organization through filing systems, inventory management, and ensuring the workspace remains efficient and welcoming.
  • Contribute to office management tasks such as coordinating maintenance requests or liaising with vendors when needed.
  • Demonstrate strong time management skills to prioritize tasks effectively in a busy environment.

Qualifications

  • Proven experience in an administrative or clerical role with strong office management skills.
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
  • Prior experience with QuickBooks or bookkeeping is highly desirable.
  • Exceptional organizational skills with keen attention to detail; ability to multitask efficiently.
  • Strong communication skills with the ability to provide excellent customer support via phone and in person; bilingual abilities are a plus.
  • Familiarity with multi-line phone systems and front desk operations; experience as a medical or dental receptionist is advantageous.
  • Demonstrated professionalism in phone etiquette and customer interactions.
  • Ability to handle confidential information discreetly while maintaining accuracy in record-keeping.
  • Personal assistant experience or experience managing calendars will be considered an asset.
  • High school diploma or equivalent required; additional certifications in office administration or related fields are beneficial.
