The Role:
As an Operations Manager will play a key role in running the day-to-day backbone of the business. You will oversee finance, compliance, systems, and operational processes to ensure the company runs smoothly as we grow.
This is a hands-on, multi-functional role suited to someone who is detail-oriented, highly organised, and comfortable working across both finance and operations in a scaling startup.
Key Responsibilities:
- Manage international payroll and contractor payments.
- Support sales operations through CRM hygiene, reporting dashboards, and sales commission tracking.
- Lead vendor and subscription management and renewals across CRM, telephony, productivity tools, and job boards, oversee procurement and licensing for SaaS tools and systems.
- Assist with legal, compliance, and HR administration including contracts, onboarding, and company policies.
- Build and document operational processes that drive efficiency and scalability.
- Provide direct support to the CEO on special projects.
- Manage office and remote logistics including equipment orders, access control, and data security.
- Monitor key operational KPIs such as response times, placement cycle time, fill rates, and CRM activity.
- Identify inefficiencies, create SOPs, and implement process improvements.
- Support tactical initiatives including new region setup, and EOR onboarding.
- Run onboarding and offboarding checklists for new hires and contractors.
- Maintain employee and contractor records and manage payroll data submissions.
- Schedule performance reviews and maintain holiday and leave tracking.
- Coordinate training sessions, compliance acknowledgements, and policy updates.
- Maintain and manage contract templates and NDAs, including signature coordination via e-sign platforms.
- Keep company policies (data protection, anti-bribery, expense policy) current and accessible.
- Liaise with legal partners to ensure compliance for international contractors.
- Prepare and issue client invoices, reconcile payments, and manage collections.
- Track monthly operating expenses, flag variances, and monitor upcoming renewals.
- Maintain the centralised budget sheet, cash-flow tracker, and vendor payment calendar.
- Coordinate with accountants on monthly close, tax filings, and legal submissions.
Requirements:
- 1 years of experience in operations, finance, or business management (recruitment, agency, or SaaS experience a plus).
- Strong knowledge of financial processes (invoicing, reconciliations, P&L management).
- Proficiency in tools such as Google Workspace, CRMs (Salesforce, HubSpot), and project management systems.
- Highly organised, detail-oriented, and data-driven.
- Ability to work independently in a fast-paced startup environment.
- Excellent communication skills and stakeholder management.
Compensation:
- Base Salary: $40,000
- Bonus: Performance-based discretionary bonus
