Full Charge Bookkeeper

HDM TAX GROUP
Hackensack, NJ Full Time
POSTED ON 10/16/2026
AVAILABLE BEFORE 2/12/2027

Position Summary

HDM Tax Group is seeking a dependable, analytical Full Charge Bookkeeper to manage the firm’s own day-to-day accounting and give leadership a clear view of cash flow, collections, workload, and profitability. This is an internal operations role rather than a client bookkeeping production position.

The right person will maintain accurate books, keep accounts receivable moving, oversee the integrity of timesheet data, and connect hours worked to budgets, billing, deadlines, and margins. The role should surface concerns early, including slow collections, missing time, work that is falling behind schedule, scope creep, or engagements that may need a pricing review.

What You Will Own

  • Full-cycle bookkeeping. Maintain the general ledger and manage routine accounting activity, including accounts payable, accounts receivable, invoicing, cash receipts, disbursements, and supporting documentation.
  • Reconciliations and close. Reconcile bank, credit card, loan, and other balance sheet accounts; prepare adjusting entries and complete an accurate, timely month-end close.
  • Financial reporting. Prepare management-ready financial statements, cash flow information, aging reports, and other schedules leadership needs to understand the firm’s financial position.
  • Accounts receivable and collections. Monitor outstanding invoices, follow established collection procedures, communicate professionally regarding past-due balances, and escalate risks or recurring payment issues.
  • Payroll and compliance support. Coordinate accurate payroll inputs and records, maintain organized documentation, and support the firm’s outside tax or accounting professionals with requested information.
  • Controls and records. Maintain clean vendor and customer records, support sound approval processes, protect confidential information, and document recurring accounting procedures.

Timekeeping and Profitability Oversight

  • Timesheet integrity. Review time entries for completeness, accuracy, timeliness, and proper client or project coding; follow up on missing or inconsistent entries.
  • Budget-to-actual monitoring. Compare actual hours and labor cost to planned hours, fees, deadlines, and work completed by client, engagement, service line, or other useful category.
  • Profitability reporting. Prepare concise reporting on job margins, work in progress, effective billing rates, realization, collections, and other indicators that help leadership understand which work is performing as expected.
  • Schedule awareness. Coordinate with the team to identify work that is on track, at risk of delay, over budget, or consuming more capacity than planned.
  • Early warnings. Flag scope creep, repeated write-downs, low-margin engagements, delayed billing, and collection issues before they become larger problems.
  • Pricing insight. Provide accurate data and practical observations when an engagement may need a fee, scope, or process review. Leadership will make final pricing and client decisions.

Qualifications

  • Demonstrated experience managing full-cycle bookkeeping with limited day-to-day supervision.
  • Strong knowledge of accrual-based accounting, general ledger maintenance, reconciliations, accounts payable, accounts receivable, and month-end close.
  • Hands-on experience with QuickBooks Online or a comparable accounting platform.
  • Strong Excel or spreadsheet skills, including the ability to organize, reconcile, and explain financial and operational data.
  • Experience working with timesheets, time-and-billing systems, or project/job-costing data.
  • Ability to turn detailed accounting and time data into clear, decision-useful reporting for leadership.
  • Excellent judgment, discretion, follow-through, and written and verbal communication skills.

Preferred Experience

  • Bookkeeping or accounting experience in a CPA firm, tax practice, law firm, consulting firm, or other professional-services environment.
  • Experience with client profitability, work in progress, utilization, realization, engagement budgets, or effective billing rates.
  • Experience improving accounting workflows, reporting routines, and internal controls in a growing business.

What Success Looks Like

  • The books are current, reconciled, well documented, and ready for timely review.
  • Invoices are issued accurately, receivables are actively monitored, and collection concerns are escalated promptly.
  • Timesheet data is complete and reliable enough to support billing, staffing, scheduling, and profitability decisions.
  • Leadership receives concise reports that identify what is on track, what needs attention, and where scope, process, or pricing may need review.
  • Sensitive company and financial information is handled with sound judgment and strict confidentiality.

How to Apply

Please submit your resume through Indeed. Candidates should be prepared to discuss their full-charge bookkeeping experience, the accounting and timekeeping systems they have used, and an example of how their reporting helped a business improve collections, workflow, or profitability.

Equal Opportunity

HDM Tax Group considers qualified applicants based on their experience, skills, and ability to perform the responsibilities of the role. Employment decisions are made without unlawful discrimination and in accordance with applicable law.
