HD Medical & Aesthetics is seeking a full-time Front Desk Patient Care Coordinator for our Wilmington location. This role is much more than answering phones and checking patients in. We are looking for someone who can build strong patient relationships, support the practice and team, and help create an exceptional patient experience from start to finish.

Position Summary
The Front Desk Patient Care Coordinator serves as the first impression of HD Medical & Aesthetics and plays a key role in keeping the office running smoothly. This individual will manage front office operations, support providers and team members, and help guide patients through scheduling, follow-up, services, and treatment opportunities. This role requires excellent communication, emotional intelligence, sales confidence, and the ability to identify needs and solve problems.
Primary Responsibilities
- Greet patients warmly and create a welcoming, polished experience from the moment they arrive
- Answer phones, respond to inquiries, scheduling, rescheduling, and follow-up appointments
- Build strong patient relationships and help patients feel comfortable and cared for
- Help guide patients through services, memberships, and recommended next steps in care
- Support patient retention by helping patients stay engaged with follow-up visits and treatment plans
- Manage front desk workflow, patient check-in/check-out, payments, and day-to-day administrative tasks
- Support providers and other team members to help the office run efficiently and smoothly
- Identify workflow issues, patient concerns, or gaps in the day and proactively help solve them
- Keep the front office organized, professional, and aligned with the overall patient experience
Ideal Qualifications
- Previous experience in a medical office, aesthetics, hospitality, sales, or patient-facing role preferred
- Strong communication and interpersonal skills
- Professional, dependable, and highly organized
- Comfortable discussing services and helping patients move forward with care
- Self-starter who takes initiative
- Able to multitask & problem-solve
