Executive Assistant

HBC Decks is seeking a highly capable Executive Assistant to support the Owner across HBC Decks and related businesses. This dedicated role focuses on buying back the Owner’s time by taking appropriate work completely off his plate.
What you will own
- Manage the Owner’s inbox, calendar, meeting preparation, reminders, priorities, and follow-through.
- Communicate professionally with clients, vendors, and team members; draft routine responses in the Owner’s voice and escalate issues with concise recommendations.
- Support bookkeeping and financial administration, including invoices, receipts, bills, account follow-up, reconciliations, and organized records.
- Coordinate research, appointments, vendors, renewals, documents, projects, and appropriate personal administrative responsibilities.
- Maintain confidentiality, protect focus time, solve problems independently when appropriate, and ensure commitments do not fall through the cracks.
- Provide sound judgment for defined evening and weekend work-phone coverage. This is not a 24-hour on-call role.
What we are looking for
You are organized, resourceful, self-motivated, detail-oriented, calm under pressure, and an exceptional written and verbal communicator. Relevant experience in executive assistance, bookkeeping, office coordination, client service, or administrative support is preferred. Comfort with spreadsheets, cloud software, accounting systems, and responsible AI use is essential. Construction or project-based business experience is a plus.
Compensation and benefits
Base salary: $50,000 per year. Opportunity to earn up to $10,000 annually through quarterly individual-performance bonuses and up to $15,000 annually based on company financial performance, for maximum total annual compensation of $75,000. Paid vacation, paid sick time, and paid holidays are included. Health insurance and a retirement plan are not currently offered.
