Position Summary
Haywood Habitat for Humanity is seeking a highly organized and dependable Office Administrator to support the day-to-day administrative operations of the organization. This position plays a vital role in ensuring the office runs efficiently while supporting staff, volunteers, donors, and partner families. The Office Administrator serves as the primary point of contact for general inquiries and provides administrative support across multiple departments including operations, development, homeowner services, and volunteer coordination. This role is ideal for someone who enjoys working in a mission-driven environment and takes pride in helping a nonprofit organization operate effectively and professionally.
Core Responsibilities
Office Administration
- Manage daily office operations and maintain an organized and welcoming office environment
- Answer phones, respond to emails, and direct inquiries appropriately
- Greet visitors, volunteers, and partner families
- Maintain office supplies and coordinate ordering as needed
- Manage incoming and outgoing mail
Administrative Support
- Provide administrative support to the Executive Director and staff
- Assist with scheduling meetings and maintaining shared calendars
- Prepare documents, forms, and reports as needed
- Maintain filing systems for both digital and physical records
- Assist with preparation of board and committee meeting materials
Data Entry & Records Management
- Maintain accurate records in the organization’s CRM and internal databases
- Enter donor, volunteer, and program data as needed
- Assist with tracking documents related to homeowner applications and program participation
- Ensure organizational records are maintained in compliance with internal policies
Donor and Volunteer Support
- Assist with donor acknowledgement letters and routine communications
- Maintain donor contact records
- Support volunteer scheduling coordination when needed
- Assist with preparation for volunteer days and events
Financial & Program Support
- Assist with basic bookkeeping tasks such as invoice tracking and expense documentation
- Support grant documentation and reporting preparation as needed
- Assist with administrative aspects of homeowner education classes and meetings
Qualifications
Preferred qualifications include:
- Associate or bachelor’s degree in business administration, nonprofit management, or related field (or equivalent experience)
- Prior administrative or office management experience
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office or Google Workspace
- Experience working with databases or CRM systems
- Ability to manage multiple tasks and work independently
- Strong attention to detail and reliability
