JOB DESCRIPTION: PROPERTY MANAGEMENT ASSOCIATE
Assist with day-to-day management of multi-family and commercial properties based out of our Coralville office, and report to Property Manager and Vice President of Operations.
HOURS OF WORK:
· Full-time salaried position: 40-hours per week, Monday – Friday, 9:00 AM – 5:00 PM
· Occasional over-time as needed, especially the last week of July and first week of August during apartment turn-over
DUTIES & RESPONSIBILITIES:
· Provide general front office customer service, including answering incoming phone calls, and transferring calls to other extensions or voicemail
· Maintenance calls are to be treated with high priority, and information properly recorded to a Work Order to send to maintenance staff
· Perform clerical needs around the office and assist with special projects as needed
· Assist the needs of current Tenants
· Show and answer questions about rental properties
· Screen for quality Tenants assisted by credit & criminal background reports. Review of questionable applicants can be assisted by the supervising employees
· Complete, explain, and sign leases and other related paperwork; Communicate company policies & lease requirements to Tenants and help enforce these policies & requirements
· Learn and use property management software to: Set up and maintaining Tenant screens; Enter rent and other charges; Record all rent payments; etc.
· Assist with processing move-out charges and security deposit refunds for former Tenants within 30-days of the lease expiration
· Interface with QuickBooks to transfer receivables data; run standard reports, etc.
· Manage deposits for several different bank accounts; Checks / money orders to be deposited daily to proper bank account(s) via remote deposit (Direct Merchant);
· Maintain & update assorted Excel workbooks to track: Vacant units, future move-ins, upcoming lease expirations; Evictions, collections & deposit refunds; ACH rent transactions; etc.
· Post notices on rental unit doors for necessary notification purposes
· Check Tenant parking lots, as needed, to enforce our parking policy
· Cross-train with Property Manager and share selected duties
· Help support Maintenance staff, Brokerage operations, and Quad Cities Property Management operations
· Perform other related duties as assigned
QUALIFICATIONS & SKILLS:
· High school diploma or equivalent required; College degree beneficial, but not required
· Previous property management or real estate experience preferred, but not required
· Proficient using Microsoft Word, Excel, Outlook, Adobe Acrobat and similar software.
· Familiarity with QuickBooks beneficial, but not required
· Strong communication and customer service skills required
· Ability to organize and manage time effectively
· A valid driver’s license and a vehicle in good working condition are required to show rental units, and/or run work-related errands as needed.
· A reliable smart phone is required in order to be reached during business hours when outside of the office, and for Two-Factor Authentication of work-related apps.
· Candidate must be mobile enough to climb stairs to show rental units in properties with no elevator, and to occasionally walk the grounds of properties.
Pay: From $37,500.00 per year
