SUMMARY
This position will assist Principal of an Orange County real estate company with personal, financial, and administrative functions, including a 501c(3) Charitable Foundation. Candidate must possess financial expertise in accounting, cash flow forecasts, budgeting, and reporting. And demonstrate confidentiality, attention to detail, and perform well under pressure. Must have a positive, professional, and polished demeanor. Full time role. On Site.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Utilize QuickBooks to manage financial functions for multiple entities, including construction projects, personnel, and vendor payments. Continually optimize QuickBooks processes to automate financial tasks and onboard new entities. We have three entities on QuickBooks with the goal of having two more on by September 30th to streamline processing and reporting for year-end. Implement automated invoice processing once approvals are met and pay vendors securely with ACH payments bi-weekly.
Processing of accounts payable includes verifying, allocating, obtaining necessary approvals, posting transaction, and filing of all financial documents.
Safeguard estate assets by implementing internal controls, regular audits, and compliance checks. Conduct regular training sessions for staff to clarify approval requirements for vendor estimates and protocols for scheduling onsite work. Collaborating closely with household operations staff to ensure principal’s expectations are consistently met.
Capable of auditing, researching, and resolving discrepancies. Troubleshooting and producing solutions. Following up with credit card users when receipts are not provided timely and/or business purpose is not documented. Must demonstrate resilience and maintain a positive working relationship and goodwill with colleagues while professionally pursuing outstanding items needed for management review.
Prepare weekly credit card and cash reports to principals to provide timely and actionable visibility to spending trends.
Reconcile bank statements and credit card statements monthly and prepare management reports. Periodic handling of transactions with the bank.
Handle requests, including troubleshooting and problem solving, if necessary, from corporate offices, philanthropic groups, community groups and vendors. Respond to all requests in a timely manner and mail and coordinate delivery, if needed. Work closely with internal and external Tax team to ensure proper documentation is obtained for Personal and Charitable Foundation contributions.
Assist with creating budgets, financial forecasts and other accounting reports as requested.
Collect and summarize data for tax forms, obtain signatures and route accordingly as requested by tax preparation firm. This includes tracking of work-related hours incurred by the Principal.
Answer, screen, and take messages for phone calls. Read and route incoming mail, e-mail, and faxes.
Coordinate with household staff and team members to ensure the smooth operation of household responsibilities when related to financial concerns.
Handle other duties or special projects as assigned.

EXPERIENCE and EDUCATION
Bachelor's degree (B. A.) in Accounting from four-year college or university. Strong understanding of GAAP Accounting principles. An ability to perform month-end accounting tasks timely and accurately to ensure actionable reporting to principal. Understanding financial metrics to advise and discuss results and recommendation with Principal weekly and monthly based on strategic insights on how to drive results and good spending behaviors from the household operations team.
Proficient with: Bank Reconciliations, Balance Sheet Reconciliations, Account Reconciliations. Following a Month-End Check List. Accurate month-end reporting enables timely decision-making for principals and supports strategic growth.
QuickBooks expertise required. Multiple entities currently on QuickBooks with the desire for the right candidate to bring on more entities and streamline and improve the current processes.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, proportions, and percentages. Ability to apply concepts of basic algebra and geometry. Familiarity with spreadsheets, formulas, and data analysis tools.
REQUIREMENTS OF POSITION
Ability to pass an accounting test that will be given as part of the screening process.
Ability to pass a pre-employment background screening and credit check. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Must be proficient in QuickBooks, Excel, Word, and Outlook. Maintain ethical standards which include, but not limited to, client confidentiality, integrity, professional competence, data security, trustworthy, and reliability.

The noise level in the work environment is relatively quiet. Office location is in Newport Beach. Individuals may occasionally be required to drive to the corporate office in Costa Mesa. Individual’s personal car will be used to handle these activities and mileage will be reimbursed.
