Job Purpose and Basic Function

As an Accounting Manager, this position oversees the day-to-day financial operations of the organization.


Description of Primary Responsibilities and Duties


Financial Operations & Accounting

  1. Manage daily accounting functions, including accounts payable, accounts receivable, payroll processing, general ledger maintenance, and cash management.
  2. Ensure timely and accurate month-end and year-end close, including reconciliations and financial statements.
  3. Maintain accounting system and internal controls to meet compliance standards and adhere to fiscal policies and procedures.
  4. Monitor revenue streams for contract and grant funding.
  5. Manage depreciation schedules, prepaid expenses, and other financial records.
  6. Track expenditures for multiple contracts and grants.
  7. Manage indirect cost calculations.
  8. Manage direct federal grants, including monthly drawdowns and balance tracking.
  9. Oversee the payroll processing system and manage payroll processing in conjunction with third-party payroll vendor, including tracking and recording FTE allocations among multiple funding sources.


Budgeting, Planning & Analysis

  1. Assist Chief Financial Officer (CFO) with annual organizational budget process and program-level budgets.
  2. Provide monthly budget-to-actual analyses to leadership and project managers.
  3. Assist with financial modeling for new projects and grant proposals.
  4. Assist with cost allocation methodologies relevant to multi-funded programs.


Compliance, Reporting & Audit

  1. Prepare monthly, quarterly, and annual financial reports for leadership, the Board, and funders.
  2. Ensure compliance with GAAP and nonprofit accounting standards.
  3. Coordinate annual audits, including preparation of audit schedules and support for Form 990 tax return.
  4. Oversee distribution of annual Form W-2s, prepare annual Form 1099s and general excise tax returns.
  5. Provides additional assistance and support as assigned.

Communications Skills

  1. Excellent written and oral communications skills.
  2. Communicates complex concepts, including financial information, in a clear effective manner for a non-financial audience.
  3. Possess excellent cross-cultural communication skills.


Professional/Technical Knowledge, Skills & Abilities

  1. Bachelor’s degree in accounting or equivalent education and experience.
  2. Knowledge of nonprofit fund accounting and grant management.
  3. Proficient in accounting software, advanced Excel, and cloud-based applications, with a strong interest in applying emerging technologies to innovate and optimize financial operations.
  4. Ability to provide guidance, training, and oversight to staff or contractors as responsibilities evolve, including potential supervisory duties.
  5. Proficient with fund accounting software. Experience with MIP Accounting a plus.


Licenses & Certifications

  1. Certified Public Accounting license, preferred.

  1. Operate in an indoor, hybrid office/remote environment.
  2. Work Hours: Full-time, 40 hours per week. Occasional evening and weekend work may be required as job duties demand.
  3. Routinely uses standard office equipment such as computers and telephones.
  4. Requires the ability to work under stress during peak workload periods.
