Job Summary:
The Physician Assistant (PA) Program Coordinator is the primary administrative staff position for the program and is responsible for the coordination and management of PA Program operations. This includes serving as the mainline of communication for the program, carry out general administrative task that support day to day program activities, provide administrative student support, and working closely with the Program Director to manage accreditation requirements.
Compensation:
$41,000 - $50,000/year
Commensurate with experience, qualifications, and skills.
This is a full-time, exempt, staff position reporting directly to the PA Program Director. The position offers hybrid-remote working opportunities, but must be located in the state of Hawaii.
Qualifications:
Minimum Qualifications:
- Bachelor's degree or equivalent combination of qualifying work experience and education.
- Experience with basic office equipment including computer, printer, and scanner.
- Proficient in Microsoft Office Suite (e.g., SharePoint, Teams, OneDrive, Word, Excel, PowerPoint, Access).
- Proficient with online meeting platforms (e.g., Zoom or other online meeting equivalent).

Other Qualifications:
- Candidates must be legally authorized to work in the United States. Visa sponsorship and relocation allowance is not available for this position.
- Ability to work evenings, weekends, and holidays when needed.
- Must reside in the state of Hawaii. If located on island other than O'ahu, must be willing to travel inter-island to O'ahu occasionally.
- Report to work obligations to support the department may require work during HPUs winter and spring break, weekends, and holidays, if necessary.
- Must meet training and background check qualifications and comply with the Protection of Minors policy.

Key Responsibilities/Essential Job Functions:
Administrative Functions (75%)
- Provides day-to-day administrative support for the Program Director.
- Attends to the main phone line and email for the PA program.
- Responds to inquiries related to the PA Program. Answers questions and direct inquiries from students, faculty, and visitors to appropriate entities within the PA Program.
- Assists the Program Director and principal faculty with activities in support of ongoing programmatic assessment and accreditation.
- Assist the program with activities in support of PA Program Admissions
- Facilitates communication between program faculty, staff, departments throughout campus, and external partners as needed.
- Takes minutes and maintains documentation for program meetings, faculty retreats, and other faculty committee meetings.
- Assists in establishing and enforcing standards, policies, and procedures for the purpose of ensuring that electronic and paper files and records are accurate, complete, maintain confidentiality, and compliant with all applicable requirements.
- Develops reports for internal and external bodies, including external accrediting bodies, as needed, with direction from the Program Director.
- Assist the Program Director in editing and updating the PA Program website to maintain compliance with accreditation requirements.
- Assist with processing faculty compensation requests relating departmental-related expenses.
- Manage adjunct faculty and guest lecturer database and submit information for contracts and payments to college operations staff.
- Manage preparations for immersion experiences as per the direction of the Program Director.
- Manage the Standardized Patient (SP) Database and assist faculty in scheduling SP experiences.
- Work with the Program Director and Director of Students to help facilitate theonboarding of students prior to matriculation.
- Work with principal faculty to develop the academic year course schedule.
- Manage calendar for student cohorts and the program.
- Creates and maintains electronic databases to distribute student information.
- Creates and maintains paper and electronic files to hold required student documents.
- Communicate with the Registrars Office regarding the graduate catalog, semester class schedules, graduation and assist students with registering for courses.
- Assist students when seeking answers to questions regarding registration, financial aid, scheduling, textbooks, and university services.
- Safeguard confidentiality by exercising discretion in communicating information to the division and university community and in handling administrative records, files, and similar confidential items.
Program Events and Exam Proctoring Functions (20%)
- Manage all program-related special events including open houses, advisory board meetings, faculty/staff workshops, and special programming with direction from the Program Director
- Manage the schedule for ARC-PA site visits
- Assist with exam proctoring
- Manage planning of graduation ceremonies
- Assist in planning and coordinating visits by distinguished guests, ensuring appropriate officials, administrators and others are notified of visits.
Performs other related duties as assigned (5%)
- Actively participate as an effective member of team by completing assigned duties, accepting additional assignments or reassignments
