LOCATION: KONA COMMUNITY HOSPITAL | Emergency Services POSITION STATUS: 0.90 | Permanent SALARY RANGE: BU03 | SR13 SALARY RATE: $22.50 an hour JOB DUTIES: A. Unit Support Duties 1. Assures that new records are printed/labeled with patient information. Adds additional forms into the chart as needed, places reports in the patient charts. 2. Accurately inputs data into the patient Electronic Medical Records System (EMR). 3. Answers incoming calls. Promptly relays messages received to patients, visitors and staff. Directs calls appropriately to other units as needed. 4. Assists with outgoing calls for physicians, staff, patients and family. 5. Retrieves patient items dropped off to Security/Check-In as needed, and coordinates patient visitors between Security and nursing staff. 6. Deposits patient valuables in safe (Admitting), brings patient home medications to Pharmacy, and submits patient contraband (lighters, weapons, illicit drugs) to Security; retrieves items upon patient discharge. 7. Directs visitors, patients and staff to the appropriate room or department as needed. 8. Transports specimens to lab on request. Retrieves supplies from lab as needed (eg. rapid/PCR COVID tests, biohazard bags, vials etc). 9. Assists with alerting Dietary to patient needs, changes and requests; retrieves trays/items from Dietary when needed. Maintains par stock in unit kitchen for patient use during times when Dietary is closed (NOC). 10. Ensures that the patient chart is complete and sent to the receiving unit during transfers to other units within the hospital. 11. Assists with preparing the patient’s transfer to another hospital by: a. Printing records from EMR (including History & Physical, Discharge Summary, all Progress Notes, all physician/specialist/surgical notes, and any other information as required by receiving facility) b. Obtaining discs or requesting beaming of images from Radiology c. Assembling transfer packets with the correct documentation, consent forms and signatures d. Coordinating with transfer personnel to initiate and execute transportation efficiently e. (Emergency Department only) calling other hospital transfer lines to initiate transfer proceedings/check availability of bed 12. Removes papers from chart upon patient discharge, and places in bin for retrieval by Medical Records. 13. Responsible for finding the on-call surgeon for providers and nurses utilizing the organization’s process. B. Compilation of Reports 1. Collects, tabulates and completes monthly statistic reports. 2. Compiles other statistical reports as needed. C. Other Duties 1. Contacts Maintenance, IT and Biomed as appropriate to initiate work orders for any necessary repairs to facility, equipment, and medical devices. 2. Checks temperatures on ED patient care refrigerator when assigned to the ED. 3. Trains new Health Unit Coordinators as needed. 4. Communicates and interacts with patients and families in a positive and courteous manner. 5. Considers age-specific needs when interacting with or assisting patients, including Infants (0-2 years), Pediatrics (2-12 years), Adolescents (12-18 years), Adults (18-70 years) and Older Adults (70 years). 6. Uses knowledge and respect of different cultures when interacting with patients and families. 7. Orders and distributes supplies throughout department as needed from various departments (e.g. Central Supply, Store Room and Administration). 8. Complies with mandatory in-service requirements, e.g. Patients’ Rights, Crisis Prevention, annual mandatory health screenings, safety briefings). 9. Maintains strictest confidentiality in every aspect of HIPAA regulation adherence, and all facility and facility related employee information. 10. Participates in activities of department, e.g. The Joint Commission (TJC), Safety, Performance Improvement, and Infection Control. 11. Adheres to all hospital rules and regulations, policies and procedures. 12. Completes tasks in a timely and efficient manner; plans and organizes workload and stays alert and flexible to changing needs within the department. 13. Performs other duties as assigned. THE MINIMUM QUALIFICATION REQUIREMENTS ARE: Applicants must meet all of the following requirements. Please note that unless specifically indicated; the required education and experiences may not be gained concurrently. In addition, qualifying work experiences are based on a 40-hour work week. Other information: EDUCATION REQUIREMENT: High school diploma or equivalent. GENERAL EXPERIENCE: Two (2) years of work experience which involved the performance of a variety of clerical tasks such as typing, substantive clerical work, or any combination of these experiences which duties demonstrated knowledge of English grammar, spelling, arithmetic, common office appliances and equipment; and the ability to read and understand oral and written instructions, carry out procedures in clerical work systems, communicate effectively orally and in writing; deal tactfully and effectively with others; operate various kinds of office equipment; and organize and prioritize work tasks. SPECIALIZED EXPERIENCE: One (1) year of work experience in a health care setting (e.g., hospital, clinic, physician’s office, etc.) which involved working with healthcare professionals such as a physician and/or nurse and receiving, coordinating, expediting and/or implementing their patient/resident care orders, inputting of data into a computer system, preparing and maintenance of medical records and/or work experience in an Electronic Medical Records (EMR) system or similar application. Such experience must have demonstrated knowledge of medical terminology through the application of such knowledge to work assignments. NON-QUALIFYING EXPERIENCE: Experience limited to the performance of simple and repetitious clerical work which primarily involved a short cycle of tasks and manual dexterity shall not be considered qualifying. Examples of such non-qualifying work include but is not limited to such tasks as wrapping and unwrapping articles; opening envelopes, folders, and similar containers; affixing tags and labels; rearranging or tidying up office desks and equipment; delivering, distributing, or collecting correspondence or parcels. SUBSTITUTIONS ALLOWED:An Associate’s or Bachelor’s degree from an accredited college or university may be substituted for all of the required General Experience.Successful completion of a substantially full-time equivalent clerical or medical/health-related curriculum leading to a degree, diploma or certificate of achievement at an accredited community college, business or technical school which provided knowledge of medical terminology and involved the application of such knowledge to assignments may be substituted for six (6) months of the required Specialized Experience.Current certification as a Health Unit Coordinator by the National Association of Health Unit Coordinators (NAHUC) may be substituted for six (6) months of the required Specialized Experience.An Associate’s Degree from an accredited college or university in Health Unit Coordinator, Medical Administrative Assistant, Health Care Administration, Health Services Administrator or equivalent may be substituted for all of the required General and Specialized Experience. QUALITY OF EXPERIENCE:Possession of the required amount of experience will not in itself be accepted as proof of qualification for a position. The applicant's overall experience must have been of such scope and level of responsibility as to conclusively demonstrate that the applicant has the ability to perform the duties of the position for which the applicant is being considered. KNOWLEDGE AND ABILITIES REQUIRED: KNOWLEDGE OF:Hospital policies and procedures; applicable State, Federal and other regulatory requirements; business English, spelling, grammar, and word usage; office practices and procedures; filing methods and systems; the operation and operational maintenance of various office appliances and equipment, including office copying machines; the use of computer equipment and software applications; office practices and procedures. ABILITY TO:Plan and carry out a wide range of administrative functions, including various highly complex assignments; maintain an effective work pace under periodic deadlines; effectively manage multiple tasks; understand and apply pertinent statutory provisions, rules, regulations, policies and procedures; read and interpret manuals and other detailed books of instruction; use of computers, word processing and other software applications; communicate effectively orally and in writing and deal tactfully with others.
