Haverhill Pavilion Behavioral Health Hospital is seeking a compassionate, organized, and customer-focused Admissions Coordinator / Registered Nurse (RN) to join our Admissions Team on the overnight shift. This position plays a critical role in connecting patients to care by coordinating referrals, facilitating communication between referral sources and providers, completing admissions when necessary, and ensuring a smooth and efficient admissions process.

Tuesday – Saturday

11:00 PM – 7:30 AM

Compensation

$40.00 - $47.00 per hour, depending on experience

Overnight and weekend differentials apply where eligible.

The Role

The Overnight Admissions Coordinator / RN serves as the primary point of contact for prospective admissions during overnight hours. This individual coordinates the admissions process from referral through admission, ensuring timely communication, accurate clinical review, and exceptional customer service.

This role combines clinical assessment skills with strong organizational and relationship-building abilities to help ensure patients receive appropriate care as quickly and efficiently as possible. The Overnight Admissions Coordinator is responsible for reviewing overnight referrals, coordinating with referral sources and providers, obtaining necessary documentation, facilitating admission decisions, and completing admissions when necessary.

Key Responsibilities

  • Receive and review incoming referrals for potential admissions
  • Coordinate communication between referral sources, providers, patients, and families
  • Conduct clinical assessments and gather required admission information
  • Complete nursing assessments, medication reconciliations, and nurse-to-nurse reports as applicable
  • Present referrals to providers and psychiatrists for admission determination
  • Coordinate admission logistics and facilitate smooth patient transitions into treatment
  • Complete admissions when necessary, including all required assessments and documentation
  • Review and process overnight referrals to ensure timely admissions decisions
  • Obtain missing documentation and follow up on pending referrals
  • Maintain communication with hospitals, emergency departments, crisis teams, outpatient providers, and community partners
  • Monitor referral activity and provide updates regarding admission status
  • Assist with insurance verification, authorization, and benefit coordination as needed
  • Accurately complete admission documentation and maintain compliant records
  • Deliver exceptional customer service to patients, families, and referral sources
  • Support census growth through responsiveness, relationship development, and efficient admissions practices
  • Participate in performance improvement and quality initiatives
  • Maintain confidentiality and compliance with all regulatory requirements

Clinical Responsibilities (RN)

  • Assess prospective patients for admission appropriateness
  • Obtain and review medical and psychiatric history
  • Perform medication reconciliation
  • Obtain nurse-to-nurse reports from referring facilities
  • Utilize nursing judgment to identify potential medical or behavioral concerns
  • Communicate significant findings to providers and treatment teams
  • Support safe and clinically appropriate admissions decisions
  • Complete nursing components of the admission process when patients arrive during assigned hours
  • Practice within the Massachusetts Nurse Practice Act and facility policies

Qualifications

  • Graduate of an accredited school of nursing
  • Current Massachusetts RN license required
  • Minimum one year of nursing experience required
  • Behavioral health, psychiatric, emergency department, crisis services, intake, admissions, or utilization review experience preferred
  • Strong assessment and critical thinking skills
  • Excellent communication and customer service abilities
  • Ability to multitask and prioritize in a fast-paced environment
  • Strong organizational and documentation skills
  • Ability to work independently and collaboratively with interdisciplinary teams
