About the Facilities Management Department
The Facilities Management Department is comprised of three units: Grounds, Arboretum, and Sustainability; Maintenance and Housekeeping; and Planning and Capital Projects. The Department is responsible for creating, maintaining, and operating a physical environment that enhances the learning, teaching, and residential activities of Haverford College. The 200-acre arboretum campus has over 1,500,000 square feet of building area.
About the Position
Reporting to and working closely with the Vice President of Finance and Administration, the Assistant Vice President of Facilities Management provides strategic leadership and direction of the planning, construction, maintenance, and operation of all campus facilities to ensure a safe, functional, and state-of-the-art learning, teaching, and working environment. The AVP develops and executes master plans, manages budgets, and oversees a comprehensive physical plant, including buildings, grounds utilities, and safety programs.
Primary Responsibilities
Leadership and Strategic Planning
- Collaborate with senior leadership and other departments to align facilities operations with the College’s goals
- Oversee the development and execution of the College’s Comprehensive Campus Plan and associated program/design/construction programs for all new construction projects and major building renovations
- Formulate and implement long-range strategic plans to maintain and improve the college’s physical assets
- Lead the planning and execution of campus renewal projects that align with the College’s strategic plan fostering an inclusive academic environment
- Serve as the Chair of the College’s Space Planning Committee (CSPC)
Supervision and Personnel Management
- Provide leadership, mentorship, and direction to a facilities management staff of over 85 employees creating a culture of accountability and excellent customer service
- Supervise and mentor five direct reports, including hiring, training, prioritizing work assignments, supporting professional development, and conducting performance evaluations
- Oversee the development and implementation of goals, objectives, and operational plans for all facilities management departments
- Foster a culture of mutual respect, collaboration, open communication, and accountability
Budget and Financial Management
- Develop, manage, and monitor the annual physical plant operating and capital budgets (over $25 million)
- Oversee the procurement and tracking of utilities, and continue to improve the College’s energy management system and preventative maintenance program
- Identify opportunities for cost-effective solutions and energy savings
Capital Projects and Construction
- Supervise all phases of capital projects, including new construction, major renovations, and deferred maintenance programs
- Collaborate with stakeholders to identify projects, compile cost estimates, and administer both short-range facility preventive maintenance and improvement plans and long-range facility planning, with attention to issues of sustainability
- Manage consultant contracts, including scope definition, fee negotiations, plan reviews, and change orders, and represent the college in discussions with architects, engineers, and construction contractors
- Ensure all project work performed by contractors aligns with contractual agreements
- Implement a college-wide space plan and campus standards
- Serve as staff support to the Property Committee, Board of Managers, reporting on the progress of facilities initiatives and their alignment with the college’s strategic priorities
Safety, Compliance, and Sustainability, and Energy Management
- Oversee the implementation of safety protocols and emergency preparedness plans for campus facilities
- Collaborate with campus safety to proactively address any facility-related safety concerns
- Develop strategies for efficient resource management, emphasizing environmental stewardship and promoting sustainability across campus operations
- Implement energy conservation plans and monitor sustainability practices to achieve the College’s target of carbon neutrality by 2033
- Coordinate with local township officials for adherence to all township building codes, usages, etc., ensuring the College is following applicable federal, state, and local government laws, codes, and regulations, including those from OSHA and ADA
Line of Report: The Assistant Vice President of Facilities Management reports to the Vice President for Finance and Administration. The Assistant Vice President of Facilities Management directly supervises the Associate Director of Facilities Management; the Assistant Director of Facilities Management; the Assistant Director of Facilities Management for Arboretum, Sustainability, Grounds, and Arboretum Director; the Executive Assistant; and the Budget Analyst.
Minimum Qualifications
- Bachelor’s degree in architecture, engineering, facilities management, construction management, or related field
- 12 years of leadership experience in facilities operations
- 8 years of experience as a supervisor
Professional Competencies
- Excellent written and verbal communication skills
- Strong operational and leadership skills
- Proven budget development and management experience
- Ability to build strong relationships with a wide range of constituencies, including faculty, staff, members of the Board of Managers, and the external community
- Thorough knowledge of building systems, historic property maintenance procedures, and safety standards
- Demonstrated project management and organizational skills
- Strong commitment to a customer-service orientation for the department
- Proficiency in Microsoft Office and relevant facility management tools
Preferred Qualifications
- Master’s degree in a relevant field
- Certified Facility Manager (CFM) or Facilities Management Professional (FMP), APPA Certified Educational Facilities Professional (CEFP) or IFMA Facility Management Professional (FMP) certification
- Experience in the management of physical plant facilities in an academic setting or at other non-profit organizations
