What are the responsibilities and job description for the Director of Operations position at Haven of Mercy Area Catholic Community?
Job Summary: This position works collaboratively with the Pastor and Director of Evangelization to move forward the mission and ministry of the parish with a growth mindset. The position is responsible for oversight of day-to-day administration management and office services for the parish community, in a manner that is guided by the parish mission statement, is supportive to the pastor and enables parish ministries to function effectively. This is a very “hands on” position.
Job Responsibilities and Duties:
- Work collaboratively with the Pastor and Director of Evangelization to establish a vision and strategic direction for the parish with a growth mindset.
- Responsible for financial planning, internal financial controls, investment strategy, banking relations, budgeting, financial stewardship, long range financial planning, and ensuring the Pastor, Pastoral Council, Finance Council and Parish Trustees are kept informed regarding the financial operations of the parish.
- Oversee the Human Resource and payroll responsibilities of the ACC, ensuring compliance with civil, federal, state and diocesan regulations related to personnel requirements.
- Lead and coordinate all fundraising, donor engagement and communication efforts to support the mission and long-term growth and sustainability of the ACC.
- Oversee the day-to-day administrative operations of the parish. This includes:
- Supervise parish secretarial, clerical, and related contracted services.
- Prepare/maintain the Administration portion of the budget for the parish.
- Oversee and maintain a manual of all policies in use at the parish including sacraments, building use, calendaring of events, use of facilities, etc.; oversee the implementation of these policies.
- Attend all required workshops offered by the Diocese relating to finances, insurance, building safety, and legal matters. Ensure implementation of Diocesan recommended policies.
- Oversee all aspects of communication, including: parish wide communications including bulletin, social media, website, email blasts, etc.; digital signage (internal and external); parish facility/ministry calendars; and serve as the liaison with the media, security, and public safety officers.
- Information Technology: Oversee all aspects of information technology and serve as the primary staff liaison to contracted IT providers.
- Events: Work collaboratively with the events staff and volunteer committees to ensure successful implementation of events.
- Volunteer Management: Foster recruitment, training, deployment and appreciation of volunteers. Work with all staff, committees and organizations in this task.
Job Qualifications and Skills:
Education
- Bachelor’s Degree in Business or related field; or equivalent experience. Finance or accounting degree is preferred
Experience
- Minimum of five (5) years in management of operations
- Minimum of five (5) years of supervising staff required
- Finance experience in financial statements, budgeting and forecasting
- Fundraising experience preferred
- Experience in working with vendors and outside contractors
Knowledge, Skills and Abilities (KSAs)
- Practicing Catholic in good standing, required
- Ability to direct and empower staff with positive direction
- Proficiency in computer programs including Microsoft Excel, Word and Outlook
