Overview
We are seeking a dedicated and professional Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. This role is vital in ensuring smooth daily operations by managing front desk activities, providing exceptional customer service, and supporting administrative functions. The successful applicant will demonstrate proficiency with office management tools, multi-line phone systems, and possess a keen eye for detail to uphold our standards of professionalism and efficiency.

Duties

  • Greet visitors and clients promptly, courteously, and professionally, creating a positive first impression.
  • Manage multi-line phone systems, directing calls efficiently and taking accurate messages when necessary.
  • Maintain an organized front desk area, including filing, data entry, and updating records using Microsoft Office and Google Workspace applications.
  • Schedule appointments, manage calendars, and coordinate meetings to optimize office workflow.
  • Handle clerical tasks such as proofreading documents, managing correspondence, and supporting administrative projects.
  • Assist with basic bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping.
  • Provide excellent customer support by addressing inquiries promptly and professionally across various communication channels.
  • Support office management duties including supply inventory control, filing systems, and maintaining a clean work environment.
  • Demonstrate strong phone etiquette and effective communication skills in both English and bilingual contexts to serve diverse clients and staff.

Requirements

  • Proven experience in office administration or clerical roles with a focus on customer service and front desk operations.
  • Strong computer literacy including proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills.
  • Familiarity with multi-line phone systems and professional phone etiquette is essential.
  • Previous experience in medical or dental receptionist roles is advantageous but not mandatory; relevant personal assistant or administrative experience is also valued.
  • Excellent organizational skills with the ability to prioritize tasks effectively while managing time efficiently.
  • Bilingual abilities are preferred to accommodate diverse client needs; fluency in additional languages is a plus.
  • Attention to detail for proofreading documents, managing schedules, and maintaining accurate records.
  • Knowledge of bookkeeping software such as QuickBooks or similar tools for basic financial tasks is desirable.
