Position Summary:
Oversees the efficient and operational functioning of the clinic by creating a welcoming and structured environment for patients connected to an outpatient behavioral health clinic. Ensures that patients receive the support and organization they need to access outpatient mental health services.
PRIMARY DUTIES:
· Appointment management; scheduling assessments, medication consultations and individual appointments as needed.
· Conduct daily appointment reminder calls.
· Maintain Front-End Log (tracking of collections, authorizations, and referrals)
· Collect patient copays and deductibles.
· Calculate patient financial liability using information obtained from the verification of benefits process.
· Assist patients with billing inquiries and insurance verification.
· Ensure accurate billing information is recorded and processed.
· Ensure the clinic is clean, organized, and well maintained.
· Supply management including; refreshments/snacks, office supplies, etc.
· Serve as a central point of contact for phone calls, emails, and inquiries, directing them to the appropriate staff members.
· Arrange for repairs and supplies as needed.
· Provide administrative support to clinic staff, including managing schedule’s, assisting with paper work processes and handling administrative tasks as needed.
· Maintain awareness of clinic policies and regulations, ensuring compliance with healthcare and regulatory standards.
· Manage referrals by scheduling appointments to ensure timely and accurate scheduling.
· Welcome and assist patients and family/supports as they arrive, providing a friendly and welcoming atmosphere
· Register new patients and ensure all necessary documentation is complete.
· Accurately input patient information and clinical notes into the electronic health records system.
· Respond appropriately and timely to patient requests.
· Maintain and organize patient records, both physical and electronic documents.
· Document medical record information timely and effectively related to patient care needs.
· Maintain confidentiality of patient information.
· Interact with patients, family members, external entities and internal staff professionally and respectfully.
Qualifications
Qualifications:
Education: Bachelor’s degree in behavioral health, marketing, buisness administration or related field preferred.
Experience: Two (2) years of office based experience working with outpatient psychiatric services preferred. Excellent organization, administrative and customer service skills. Computer skills including Microsoft Excel, Word and Outlook. Knowledge of insurance verification process, preferred. Familiarity with general healthcare facility compliance.
Certification/License: CPI/CPR Certified per policy
