Catering Office Administrator & Event Coordinator

The Catering Office Administrator & Event Coordinator is responsible for managing the daily administrative operations of the catering business. This role includes handling client communications, event scheduling, menu creation, proposal preparation, order processing, invoicing, and coordination with kitchen and service staff. The ideal candidate ensures the smooth execution of events by maintaining organized records, managing logistics, and supporting overall business operations.

Key Responsibilities
  • Handle client inquiries and communications via phone calls, emails, and social media
  • Create customized menus based on client needs, budget, and event type
  • Prepare detailed proposals, quotations, and event presentations for clients
  • Manage event calendars, bookings, and scheduling
  • Coordinate with chefs, kitchen staff, and service teams to ensure event readiness
  • Process orders, contracts, invoices, and payments
  • Maintain organized client records, event files, and administrative documents
  • Communicate special requests, dietary restrictions, and event details to the team
  • Coordinate with suppliers and vendors for event requirements
  • Assist with marketing tasks, social media updates, and content management
  • Support event setup coordination and ensure smooth event execution
Qualifications
  • Experience in event planning, catering coordination, or office administration
  • Knowledge of the food and beverage industry
  • Experience in catering services is an advantage
  • Proficiency in Microsoft Office, Google Workspace, and basic administrative software
  • Bachelor’s degree in Hospitality Management or a related field is preferred
