Key Responsibilities Inbound & Outbound Logistics Coordination

The Logistics Specialist plays a key role in maintaining accurate machine inventory—both physically and within our systems—while coordinating closely with internal teams, port authorities, and freight partners to ensure smooth inbound and outbound logistics.
Key Responsibilities Inbound & Outbound Logistics Coordination
- Coordinate shipments between factories, warehouses, and distribution centers.
- Maintain clear communication with port authorities and freight carriers to ensure timely release and delivery of goods.
- Manage customs documentation and ensure compliance with all import/export regulations.
- Track inbound shipping costs and negotiate competitive freight rates.
- Prepare outbound freight estimates for the sales team, ensuring timely customer approval.
- Organize deliveries from warehouses or factories to customers and dealers.
- Schedule pickups with freight companies and monitor delivery timelines.
- Prepare invoices, export documents, and Certificates of Origin as required.
- Create purchase orders in AIP for all relevant shipments.
- Ensure machine descriptions and data are accurate and properly recorded in internal systems.
- Verify that machines are correctly located both physically and within the system.
- Bachelor’s or Associate degree in Business Administration or a related field.
- Strong communication and customer service skills.
- Excellent follow-up and active listening abilities.
- Effective time management and ability to work independently or within a team.
- Proficiency in MS Excel.
- Experience with CRM systems (Salesforce preferred).
- Experience with ERP systems (M3 preferred).
- At least 3 years of international customer service logistics experience, preferably within the construction equipment or rental equipment industry.
