JOB DESCRIPTION: Human Resource Specialist (Recruitment and Onboarding)
DEPARTMENT: Administration/Human Resources
REPORTS TO: Director of Human Resources
LOCATION: Primarily stationed at the Hattiesburg Visitors Center; but work requires travel to all Hattiesburg Convention Commission facilities (HCC) these include the Lake Terrace Convention Center, Saenger Theater, Sixth Street Museum District, the Hattiesburg Zoo and Serengeti Springs. Travel also may be required for conferences and seminars.
SHIFT: Full-time: Minimum 40 hours per week generally Mon - Fri; However hours may vary; will include some nights, weekends and holidays when needed.
SUMMARY: The Human Resource Specialist (HR Specialist) will be responsible for coordinating and executing the full recruitment and onboarding process, ensuring a smooth and compliant experience for all new hires. The HR Specialist must have strong organizational skills, attention to detail, and a solid understanding of hiring practices and onboarding procedures. The candidate should also possess excellent communication skills to collaborate with hiring managers, support new employees, and maintain accurate and timely personnel documentation throughout the hiring cycle.
DUTIES AND RESPONSIBILITIES:
- Coordinates recruitment activities, including job postings, applicant communication, and interview scheduling.
- Coordinates with third party vendors for temporary labor as needed.
- Facilitates drug screenings for new hires through a third-party vendor.
- Completes onboarding for all new hires, including ADP Workforce Now setup, classification coding, time clock setup, and personnel file creation.
- Schedules monthly New Hire Orientation for all new hires.
- Completes I-9 documentation and processes work authorizations using E-Verify online services.
- Submits online background checks annually for all employees, monthly for new hires and volunteers.
- Creates personnel files in compliance with applicable legal requirements.
- Answers employee questions related to hiring, onboarding, job postings, orientation, and general HR inquiries.
- Assists with various research projects and/or special projects.
- Maintains uniform inventories for all facilities and distributes uniforms during orientation.
- Occasional cross‑department support may be required. Our organizational culture encourages collaborative assistance when operational needs arise, which can include providing help during select evening or weekend events.
- Performs other HR duties as assigned.
QUALIFICATION REQUIREMENTS:
- High school diploma or equivalent, with some college or technical school course work and minimum of three years of job-related experience, preferably in a human resource department; or any equivalent combination of education and experience that provides the required knowledge, skills and abilities.
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- Must retain a valid Driver’s License and meet the eligibility requirements to drive while conducting company business.
- Must have transportation for required travel.
- Strong proficiency in Microsoft Office Suite.
