Job Summary:

We are seeking a highly organized and detail-oriented Unit Secretary to join our team at Hathorne Hill Rehabilitation and Healthcare Center. As a Unit Secretary, you will play a crucial role in ensuring the smooth operation of our nursing facility by providing administrative support to our nursing staff. This is a full-time position with competitive salary and a comprehensive benefits package.

Responsibilities:

  • Schedule appointments with physicians or outside agencies and complete necessary paperwork to accompany residents

  • Schedule lab tests, including in-house X-rays, and make out appropriate lab slips

  • Fax communication to physicians as directed by the charge nurse

  • Maintain physician rounds book and generate physician compliance calendar

  • Stock and maintain medical supplies in the medication room, nurses' conference room, and monitor for neatness and overstocking

  • Maintain consultant records for residents and schedule consulting physician visits in cooperation with charge nurses

  • Answer telephones, relay messages, and relieve the receptionist for breaks and lunches

  • Prepare for new admissions by following the admission checklist and complete necessary clerical duties related to admission and discharge of residents

  • Organize discharge charts and ensure they are complete, file medication and treatment cardexes, and keep all charts in order and thinned as appropriate

  • Assist in developing procedures to ensure records are properly completed, signed, indexed, and filed

  • Perform miscellaneous duties pertaining to medical records and assist business office personnel as required

Requirements:

  • 1 year of experience in a healthcare setting

  • High school diploma or equivalent

  • Ability to read, write, and comprehend English and follow oral and written instructions

  • Ability to work hours as scheduled based on the requirements of the position assignment

  • Must be able to move intermittently throughout the day, proper body mechanics required - bending, stooping, turning, stretching, and reaching above the shoulders are involved

  • Must be able to see and hear or use prosthetics/equipment that will enable these senses to function adequately

  • Must be able to lift a minimum of 25 lbs.

  • Ability to work in an appropriately lighted and ventilated environment

  • Ability to maintain confidentiality and adhere to all State and Federal regulations

  • Follows and complies with all State and Federal regulations as well as established Personnel Policies and Procedures

  • Maintains all pertinent records in a timely, efficient, and confidential manner
