We are currently seeking a detail-oriented and highly organized Office Manager to join our team.
In this dynamic role, you will serve as a critical liaison between our Pre-Construction, Operations, and Finance teams, helping to ensure smooth project setup, regulatory compliance, and administrative excellence across the organization. RESPONSIBILITIES:
- Serve as the primary liaison between Pre-Construction, Operations, and Finance to ensure smooth project setup, compliance, and administrative coordination
- Support all core Hatfield Construction processes — including contracts, bid management, A/P, A/R, and KPI tracking — to improve efficiency and accountability across teams
- Strengthen communication with the Shared Services Department to align Hatfield’s operations with Keiter’s standards and timelines
- Promote administrative excellence through consistent process adherence, timely project transitions, and proactive issue resolution
- Partner with leadership to optimize software platforms such as Monday.com and Procore for improved project visibility, reporting accuracy, and workflow automation
- Champion a culture of professionalism, organization, and accountability while modeling Hatfield Construction’s core values of Trust, Communication, Accountability, Respect, and Growth
- Identify opportunities for process and administrative improvement
Software management
- Monday.com (CRM Software)
- Manage information as required
- Procore (Project Management Software)
- Maintain new vendor database and compliance
- Update Equipment Module from daily reports
- Foley Transportation (DOT Compliance Software)
- Administer the Foley Portal
- Ensure compliance and accuracy of driver files and personnel records for existing and new employees
Accounts Receivable Support
- Prepare and maintain billing spreadsheets for ongoing client accounts to ensure accurate and timely invoicing
Accounts Payable Support
- Perform daily review and management of Ramp Credit Card to ensure timely processing of accounts payable items
- Route invoices through Paperless system to the appropriate approvers to support efficient and accurate invoice processing

Requirements
Certifications/Skills
- Strong organizational and time management skills with the ability to manage multiple priorities
- Top-notch attention to detail and accuracy in handling data, records, and documentation
- Excellent computer skills including working with software systems are absolutely a must, experience with Google Suites, and Excel; Macintosh experience preferred
- Demonstrates strong self-motivation with the ability to proactively manage tasks and meet deadlines independently
- Strong customer service and communication skills, both verbal and written
- Ability to collaborate effectively with cross-functional teams, including Pre-Construction, Operations, and Accounting
Education
- Minimum high school diploma, plus relevant experience in construction or project coordination
- Preferred Associate’s or Bachelor’s degree in business or engineering; equivalent work experience in construction project coordination will also be considered
Experience
- 2-4 years of experience in project coordination, administrative or operations support, or a similar position
- Experience in Procore and Sage 100 Construction is preferred
- Basic knowledge of DOT compliance and vehicle administration is preferred
- Construction or related industry experience preferred
Physical Requirements
- Regularly required to sit for extended periods, type and communicate frequently, occasionally lift up to 25 pounds, and walk short distances around the office or yard space. May occasionally visit job sites, which could involve walking on uneven surfaces or exposure to outdoor conditions
Pay: $65,000.00 - $75,000.00 per year
