Job Description
The HBS Alumni Marketing and Communications team (AM&C) is seeking a Direct Marketing Coordinator. The Direct Marketing Coordinator will be responsible for the following:
- Build trust and collaboration by being present on-site and engaging directly with colleagues and various constituents.
- In conjunction with the Associate Director, Development Communications, is responsible for pulling, manipulation, and uploading appeals data files; helps monitor current events, HBS systems and Salesforce Marketing Cloud for list exclusions or potential list exclusions.
- Primary person responsible for preparing, testing, and uploading data uploads/mass updates for each appeal (print and email). Also responsible for creating, maintaining, and tracking appeal codes, PURLS, other giving URLS, and print scanlines; and, in conjunction with the associate director, ensures accurate use across digital media.
- Independently execute email appeal and ask strategy including list building and segmentation; email building and testing; tracking and assessing results; and creating test mechanisms to gather data to inform future strategy, segmentation, and direction.
- Coordinates with the AAM&C digital team on send dates and times and guides other teams on the correct usage of appeal codes and giving forms.
- Maintains co-oversight of the marketing email account and replies to, forwards, or elevates responses to appropriate staff when necessary.
- Acts as the primary administrative support for the Direct Marketing team’s Workfront instance, ensuring consistency, accuracy, timely updates, and organization of all direct marketing fundraising projects.
- Cultivates favorable working relationships and works closely with colleagues across departments to support and integrate direct marketing and development communications.
- Serves as the main point of contact for various staff regarding day-to-day appeal execution questions.
- Manages assets and inventory for the Direct Marketing team, including maintaining samples library on Sharepoint. Review signatures for letters and maintain a library, including cleaning up signatures for printing.
- Help proofread appeals letters Initiate letterhead review process with team for reunion appeals and maintain accurate and up-to-date versions for each class.
- This role is responsible for other duties as assigned.
Basic Qualifications:
- High School Diploma, GED, or equivalent is required.
- Education beyond high school may count toward experience.
- 5 years of experience in administrative support role(s) is required.
- Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience.
- Experienced in assisting with project management, including the ability to support work involving multiple stakeholders from various departments.
- Excellent written and verbal communication skills, superb attention to detail, and the ability to multi-task and balance priorities with ease.
- Knowledge of annual giving and experience with direct marketing (mail and email) strategy, execution, and analytics.
- Familiarity with alumni database platforms, Workfront, and Adobe Suite
- Standard Hours/Schedule: This is a 40 hours/week, overtime eligible position.
- Compensation Range/Rate (including Shift Differential if applicable): $77,750 - $82,750

- This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite a minimum of 3 days per week and departments provide onsite coverage Monday – Friday.
