Job Description: Full-Time Patient Coordinator

Position Title: Patient Coordinator

Reports To: General Manager

Position Summary

The Patient Coordinator serves as the first point of contact for our patients and plays a vital role in creating a welcoming, professional, and efficient experience. This position is responsible for coordinating patient appointments, managing front office operations, assisting with insurance verification, maintaining accurate patient records, and supporting the audiologists to ensure exceptional patient care.

The ideal candidate is compassionate, organized, detail-oriented, and enjoys working in a fast-paced healthcare environment. They are committed to delivering outstanding customer service while providing administrative and clinical support to the audiologists.

Essential Responsibilities

Patient Care & Customer Service

  • Welcome patients and visitors in a friendly, professional, and courteous manner.
  • Answer incoming phone calls promptly and professionally.
  • Schedule, confirm, and reschedule patient appointments.
  • Prepare and coordinate patient charts prior to appointments.
  • Provide patients with appointment instructions and any necessary paperwork.
  • Address patient questions and concerns or direct them to the appropriate team member.
  • Ensure an exceptional patient experience from check-in through check-out.

Administrative Responsibilities

  • Register new patients and maintain accurate demographic and insurance information.
  • Assist with insurance verification, eligibility and benefits.
  • Obtain referrals and prior authorizations as required.
  • Assist with coordinating outside referrals and scheduling appointments.
  • Collect patient co-pays, balances, and other payments accurately.
  • Accurately enter provider services into QuickBooks and reconcile daily transactions using the end-of-day report.
  • Process patient paperwork and maintain electronic medical records.
  • Scan, upload, and organize documents within the patient management system.
  • Maintain patient confidentiality in accordance with HIPAA regulations.
  • Perform additional administrative duties as assigned.

Office Operations

  • Prepare daily provider schedules and patient charts.
  • Monitor provider schedules to maximize efficiency and patient flow.
  • Assist with hearing aid deliveries, repairs, follow-up appointments, and patient recalls.
  • Assist with inventory management and ordering office supplies.
  • Process incoming and outgoing mail, faxes, and correspondence.
  • Maintain a clean, organized, and welcoming reception area and front office.

Team Collaboration

  • Communicate effectively and professionally with audiologists and fellow team members.
  • Assist with office projects and administrative initiatives.
  • Provide coverage and support at multiple office locations when needed.
  • Participate in staff meetings, training sessions, and continuing education opportunities.
  • Contribute to a positive, collaborative, and patient-focused work environment.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum of two years of customer service or medical office experience.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency with Microsoft Office and computer systems.
  • Ability to maintain strict confidentiality and professionalism.
  • Reliable transportation to travel between office locations when needed.

Preferred

  • Experience in an audiology, ENT, or other healthcare practice.
  • Knowledge of medical insurance verification, referrals, and authorizations.
  • Experience using electronic health via HearForm, our practice management software.
  • Experience with QuickBooks is a plus.

Pay: $20.00 - $22.00 per hour
