Position Description
The Archives Technician is responsible for archiving and maintaining both digital and hardcopy records with a high level of accuracy and attention to detail. This position supports the organization, classification, retention, and retrieval of records in accordance with established archival standards, organizational policies, and legal requirements. Reporting directly to the Archives Manager, the Archives Technician assists with processing incoming records, maintaining inventories, and ensuring records are properly stored, tracked, and accessible. The role includes maintaining records and carrying out retention and disposal activities in compliance with approved records retention schedules and the Texas Election Code, while ensuring confidentiality, regulatory compliance, and readiness for audits or information requests.

Duties and Responsibilities:
- Receive, accession, and process incoming archival materials (both digital and hardcopy).
- Arrange and describe records according to established archival standards.
- Classify, label, and catalog records using archival management systems.
- Apply records retention and disposal schedules under supervision of the Elections Archives Manager.
- Prepare materials for long-term storage, digitization, and secure disposal.

Requirements
Education and Experience:
- High School Diploma or G.E.D. equivalent from an accredited educational institution required.
- Relevant experience (can include IT Data Entry/Database Support, Bookkeeping, Auditing, Accounting, Library Circulation and Compliance.)
- Proficiency in Microsoft Word, Excel, Outlook, and Windows file management; experience with SharePoint, OneDrive, and Teams considered an asset.
- Administrative & Support Tasks.
- Maintain logs, inventories, and processing documentation.
- Respond to internal requests for archived materials.
- Support the Archives Manager with special projects and backlog processing.
- Accurate data entry and quality control.
- Understanding of document lifecycle management in accordance with TEC.
- Ability to follow structured digital workflows and naming standards.
- Basic Troubleshooting (file version issues, access problems).
Preferences
- Record maintenance experience a plus.
Position Type and Typical Hours of Work:
- Temp Full-time | Position End Date: 7/3/2026
- Monday – Friday | 8:00 A.M. to 4:30 P.M.
- 40 hours/week | Ability to work long hours during election cycles. | Hours can be up to 18 hours.
- Overtime hours as required to include weekends and holidays.
- Blackout dates will be provided.
