Job Overview:
The Program Assistant is responsible for providing administrative and on-site programmatic support to program leaders and teaching artists at the Pasadena, Glendale and Hollywood Youth Orchestra (HYO) sites, as well as supporting organization-wide administrative tasks. This position plays a key role in ensuring smooth on-site operations, strong communication, and high-quality student and family experiences across all assigned programs.
This role requires a flexible schedule, with working days spanning Monday through Saturday, and includes a mix of on-site program support and administrative responsibilities. The Program Assistant will also support the design and growth of Harmony Project’s Conservatory program, working closely with the Chief Program Officer to help design, implement, and evaluate program offerings that strengthen student pathways and artistic excellence. Moreover, this position supports the planning and execution of special events, in collaboration with HP leadership.
Key Roles (Essential Job Responsibilities)
- Provide on-site supervision and support of group classes, ensemble rehearsals, and other program activities at Pasadena, Glendale and HYO (and other sites as assigned.
- Assist in implementing overall program design and schedule.
- In collaboration with the Chief Program officer, design, implement, and evaluate the Harmony Project Conservatory program.
- Provide support for annual Progress Check-Ins, Recruitment, Parent/Teacher Conferences, and other special initiatives.
- Support the planning and execution of special events, including but not limited to concerts and fundraising event performances.
- Student data collection and management assistance.
- Operational support for concerts and other communal activities.
- Add capacity to the organization’s family outreach efforts.
- Strengthen partnerships with all stakeholders (students, families, Teaching Artists, program partners, community leaders and organizations, donors).
- Manage off-site performance requests, including coordination with vendors, program staff, and student performers.
- Provide administrative support for the Harmony Project Conservatory, including scheduling, communications, event coordination, tracking of student attendance, and scheduling of Teaching Artists

- Fluency in all Microsoft Office programs (Office, Excel, Outlook and PowerPoint) and Google Workspace apps (Calendar, Gmail, Google drive, etc.).
- Working knowledge of Slack, Monday, Canva, Mailchimp, and Typeform.
- Spanish proficiency desired
Education and Experience
- High School Diploma or a Bachelor’s degree in music education, music performance, education, social work or related field; Current undergraduate or graduate students with availability for full-time hours will also be considered.
- Previous experience in mission-driven organizations maintaining community and school partnerships.
Physical Requirements
- Must be able to remain stationary for prolonged periods of time.
- Ability to lift and move up to 20 pounds.
Additional Requirements
- Flexible work schedule, with working days Monday through Saturday, including weeknights, some weekends, and holidays.
