Position: Administrative Assistant, Military Department
Reports to: Commandant, Hargrave Military Academy
The Administrative Assistant to the Military Department serves as the primary administrative and operational support professional for the Commandant and the Military Department. This role ensures the efficient coordination of department operations, communication, documentation, scheduling, and strategic initiatives.
Responsibilities include, but are not limited to, the following:

Serve as the primary support to the Commandant, managing complex scheduling, calendar coordination, communications, and priority management

Coordinate Military Department events, ceremonies, inspections, parades, and special programs

Serve as a point of contact between the Military Department and internal departments, parents, Parents Association, alumni, and external partners

Assist with budget tracking, purchase orders, and departmental expense management as assigned

Prepares and distributes reports to appropriate offices, including the daily morning report and cadet discipline report.

Coordinates, records, and maintains fire, tornado, and lockdown drill records.

Maintains cadet general order promotions and meritorious performers.

Maintain and update the Military grades and records of each Cadet

Coordinate with the military department and the leadership center director to register for Boys State

Prepare various Awards and Certificates

Provide photo IDs for Faculty, Staff, and Cadets

Manage fleet of vehicles owned and operated by Hargrave
-
Arranges cadet transportation.

Maintain strict confidentiality in handling sensitive cadet, personnel, and disciplinary information

Develop and refine office procedures to improve workflow and operational effectiveness.

Perform other duties as assigned by the President or Commandant.
