Job Description: The Payroll/AP/AR Clerk is responsible for the timely and accurate delivery of payroll, accounts payable processing, accounts receivable processing and other related services, including record keeping and reporting. This role also provides support and assistance as required to HR and Finance.
Essential Duties and Responsibilities: Payroll
· Compile and track payroll data such as garnishments, PTO time, benefits, and 401(k) deductions.
· Collect time cards and review for completeness and accuracy.
· Ensure confidentiality & employee privacy
· Contact various supervisors and/or employees for any missing information.
· Respond in a timely manner to all internal and external requests and inquiries regarding pay.
· Process weekly entry and transfer of funds to BORL, ensure payroll is accurate and on-time.
· Assist HR with Maintenance of personnel files as needed.
· Accurate and timely processing of tax payment to state and federal agencies
Essential Duties and Responsibilities: Accounts Payable
· Review and prioritize invoices for appropriate documentation and approval prior to payment.
· Review, prepare and process check requests, payable checks, wire transfers and ACH payments.
· Maintain vendor files, reconcile vendor statements, research and correct discrepancies.
· Coordinate with Controller and/or General Manager for cash flow management.
· Bank Deposits
· Audit and process credit card bills and employee fuel and expense reports.
· 1099 maintenance.
· Produce monthly reports as needed. Assist in month end closing.
· Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
Essential Duties and Responsibilities: Accounts Receivable
· Enter Job Setups into system creating job number and budget
· Update and keep job spreadsheet current with current and completed jobs
· Create job packets and folders for project managers and superintendents
· Maintain job files
· Create invoices for jobs and mail invoices and/or statements
· Follow up on past due invoices as needed
· Coordinate with project managers to determine jobs to be invoiced
· Collect payments by check, credit card or cash and make appropriate entries in the system
· Prepare checks for deposit and utilize check deposit machine to make deposits
· Assist Controller as needed
Essential Duties and Responsibilities: Other Duties
· JBI invoicing
· Contract Administration
· IFTA reporting
· Administer Drug Testing Program
· Administer Retirement Program
· Administer Health Insurance / VEBA account
· Answer phones and direct calls to appropriate personnel.
· Complete job quote requests with maps
· Other duties as needed
Qualification/requirement:
- Knowledge of Payroll and Accounts Payable functions is essential.
- Solid understanding of payroll tax law and GAAP principals.
- Proficiency in Word and Excel. Clear written and verbal communications.
- Highly self-motivated and organized, with good time management skills.
- Excellent attention to detail. Work well in a team environment.
Experience/Training:
- Associate's degree (AA) or equivalent from two-year college or technical school or two or more years equivalent combination of education and experience.
- 2-3 years of Payroll and/or Accounting experience preferred.
