Position Overview
The Client Associate is central to the Harbour Wealth client experience. You will serve as a proactive, dependable, and polished point of contact ensuring each interaction feels personal, seamless, and supportive. From account servicing to relationship coordination, your work helps create an environment where clients feel truly cared for.
This role also offers the opportunity to support the firm more broadly through executive-assistant responsibilities, marketing support, and office management. It is ideal for someone who enjoys variety, thrives in a relationship-centered setting, and wants to contribute meaningfully to a boutique private-wealth practice.
Key Responsibilities
Delivering the Harbour Wealth Client Experience
- Serve as a warm, welcoming, and reliable point of contact reflecting Harbour Wealth’s hospitality-driven approach in every interaction.
- Curate a highly personalized experience for clients by anticipating needs, capturing preferences, and strengthening touchpoints across the relationship.
- Support a polished onboarding process that introduces clients to the high standards and attentive service that define our firm.
- Maintain detailed household profiles, personal preferences, important dates, and communication notes to ensure continuity and personalization.
- Protect all client information with absolute discretion and professionalism.
Operations & Advisor Support
- Prepare customized client materials including investment reports, meeting packages, financial summaries, and follow-up notes.
- Assist with daily investment and account operations through accurate completion of paperwork, digital forms, and custodial processes.
- Process and track ACAT transfers, beneficiary updates, RMD requests, and other routine account servicing tasks.
- Monitor custodial workflows to ensure transfers, forms, and service requests are completed correctly and on time.
- Maintain CRM tasks, notes, digital files, and service pipelines to support timely and accurate follow-through.
- Support trade requests and money movement activities under advisor supervision while ensuring compliance and documentation standards are met.
Meeting Preparation & Follow-Through
- Schedule, prepare, and coordinate client meetings with exceptional attention to detail and a focus on client comfort and clarity.
- Assemble meeting materials, summaries, and follow-up communications promptly and professionally.
- Track action items and support advisors in completing commitments in a timely, organized manner.
Secondary Role Responsibilities
Executive Assistant Support
- Monitor principal email activity to identify tasks requiring action, proactively delegate requests, and track follow-through to completion.
- Assist with scheduling, travel coordination, and personal logistics that support efficient advisor workflows.
- Coordinate gifting, reservations, event planning, and special personal or client-facing details when needed.
Office Management
- Maintain a professional, welcoming environment for clients and guests.
- Oversee office logistics, supplies, technology coordination, some vendor management, and general operational needs.
- Support improvements to administrative processes and internal workflows that enhance team effectiveness.
Qualifications & Requirements
Education
- Bachelor’s degree required.
Experience
- Prior industry experience is helpful but not required. We will train the right person or compensate for experience. Attitude and aptitude are of paramount importance.
- Experience in client service, operations, or administrative roles is helpful but not necessary.
Skills & Competencies
- Exceptional attention to detail and accuracy, especially when handling financial documents, forms, and client requests.
- Warm, polished communication style with an emphasis on clarity and professionalism.
- Ability to learn new systems quickly, including custodial platforms, CRM tools, task-management software, and digital filing systems.
- Comfortable navigating digital workflows, scanning, uploading, organizing, and managing documents in multiple online systems throughout the day.
- High level of integrity and discretion when handling sensitive information.
- Strong organizational and time-management skills, with the ability to prioritize effectively in a fast-paced environment.
- A proactive, service-oriented approach and a genuine desire to support clients and colleagues.
Licensing
- Willingness to obtain the SIE, Series 7, and Series 66 licenses (firm-sponsored).
Compensation
South Carolina Market Salary Range:
- Base Salary: Competitive salary based on skills and experience
