CLIENT SERVICE ASSOCIATE

POSITION OVERVIEW:
This role is ideal for a banking and/or a financial services professional who thrives in a client-facing, operationally critical environment. You will support one or more Financial Advisors by managing the day-to-day service needs of clients, ensuring the highest standard of care in all interactions. This is a key position that contributes directly to client satisfaction, operational efficiency, and the long-term success of the firm.
KEY RESPONSIBILITIES:
- Client Service & Relationship Management: Serve as the first point of contact for client inquiries. Provide white-glove service through proactive communication, problem resolution, and follow-through.
- Account Administration: Open and maintain brokerage, retirement, and trust accounts; process ACATs, wires, RMDs, distributions, and other transactions in coordination with contra parties.
- Advisor Support: Prepare documentation, reports, and meeting materials for Financial Advisors; maintain client files and CRM records.
- Team Coordination: Work closely with advisors, operations, and leadership to ensure a seamless client experience and timely execution of service deliverables.
- Quality Control: Ensure all work adheres to compliance standards and is completed with a high degree of accuracy and confidentiality.
IDEAL CANDIDATE PROFILE:
- 2 years of client service experience within financial services, preferably in banking, private wealth, or an RIA/financial planning firm
- Proficiency in CRM systems (Salesforce, ACT, Redtail, etc.), portfolio reporting tools, and MS Office Suite; experience with platforms like SmartStation or advisor gateway
- Excellent interpersonal and written communication skills, with a client-first mindset
- Impeccable attention to detail, time management, and organizational skills
- Discretion and professionalism in handling sensitive client information
- Ability to work independently and collaboratively, with sound judgment on when to escalate issues
