Job Overview
We are seeking a detail-oriented and organized Billing Associate to join our logistics team. This role is responsible for ensuring accurate and timely customer billing by reviewing transportation charges, approving invoices, preparing customer invoices, and meeting customer-specific billing requirements across multiple Transportation Management Systems (TMS). The ideal candidate is analytical, highly organized, and able to work independently while maintaining a high level of accuracy in a fast-paced environment.
Responsibilities

- Review, validate, and approve freight charges and carrier invoices for accuracy and compliance.
- Prepare and submit customer invoices in a timely manner.
- Complete customer-specific invoicing requirements using multiple Transportation Management Systems (TMS) and customer portals.
- Verify billing information, accessorial charges, rates, and supporting documentation before invoicing.
- Investigate and resolve billing discrepancies by collaborating with operations, customer service, and accounting teams.
- Ensure invoices are processed according to customer contracts, service agreements, and billing deadlines.
- Maintain accurate billing records and documentation.
- Monitor outstanding billing issues and proactively follow up to ensure timely resolution.
- Utilize Microsoft Excel to analyze billing data, reconcile invoices, and prepare reports as needed.
- Assist with process improvements to increase billing accuracy and efficiency.
- Perform other administrative and accounting support duties as assigned.
Requirements
- High school diploma or equivalent; associate's degree in Accounting, Business, Logistics, or a related field is preferred.
Preferred Skills
- Previous billing, invoicing, accounting, or logistics experience preferred.
- Strong proficiency in Microsoft Excel and Microsoft Office Suite.
- Experience working with Transportation Management Systems (TMS) or similar software is preferred.
- Excellent attention to detail and organizational skills.
- Strong analytical and problem-solving abilities.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Effective written and verbal communication skills.
- Ability to work independently with minimal supervision while contributing as a team member.
