Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing excellent customer service
- Oversee office management tasks such as supply procurement, filing systems, and maintaining office equipment
- Handle calendar management and scheduling for team meetings, appointments, and events using productivity software like Microsoft Office and Google Workspace
- Perform data entry, bookkeeping with QuickBooks, and maintain accurate records of financial transactions
- Support administrative functions including proofreading documents, managing correspondence, and organizing files
- Coordinate with vendors and service providers to ensure timely maintenance and supplies
- Assist with personal assistant duties when necessary, including travel arrangements and task prioritization
Requirements
- Proven experience in office management or administrative roles with a strong background in clerical support and customer service
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with productivity software
- Experience with QuickBooks for bookkeeping and financial recordkeeping
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong computer literacy and technical proficiency in office equipment and systems such as multi-line phone systems
- Bilingual abilities are highly desirable to support diverse client interactions
- Previous experience as a dental or medical receptionist or personal assistant is a plus
- Exceptional phone etiquette, proofreading skills, and attention to detail in data entry and filing tasks
- Ability to manage time efficiently while handling multiple responsibilities simultaneously
