Staffing Manager (Scheduling & Case Management Focus)
Happy to Help Caregiving is hiring a Staffing Manager to lead daily scheduling, non‑medical case management, issue resolution, and communication with caregivers and families. A dedicated Recruiting Manager owns hiring, interviewing, training, background checks, and personnel file management; this role provides recruiting support only as needed during peak periods or coverage.
Key Responsibilities
Primary — Scheduling & Coverage
- Build and maintain accurate caregiver–client schedules in the platform.
- Match caregivers to cases based on skills, availability, and preferences.
- Monitor openings, create coverage plans, and fill same‑day changes.
- Record updates promptly; ensure EVV and documentation accuracy.
Primary — Communication & Issue Resolution
- Serve as the main point of contact for caregivers and families during business hours.
- Communicate changes clearly, set expectations, and provide timely updates until resolved.
- Document issues and resolutions; escalate to leadership when appropriate.
Primary — Non‑Medical Case Management (Care Coordination)
- Maintain current service details and client preferences; coordinate starts, transitions, and discharges.
- Review visit notes/feedback for continuity of care and schedule alignment.
- Partner with families and caregivers on adjustments to hours or tasks within the care plan.
Primary — Caregiver Support
- Conduct regular check‑ins, clarify expectations, and provide specific coaching.
- Recognize reliability and quality; address gaps promptly and privately.
- Promote a consistent, team‑oriented workflow.
Secondary — Recruiting Support (led by Recruiting Manager)
- Assist with job postings, interview scheduling, and onboarding logistics as needed.
- Follow up on credential expirations and compliance items at the Recruiting Manager’s direction.
- Provide coverage during Recruiting Manager PTO/absences.
After‑Hours On‑Call (Management Only)
- Participate in a shared rotation with the Recruiting Manager and Direcot for urgent scheduling or client concerns.
- Coordinate coverage and escalations; no direct care shifts.
Who You Are
- Experience in staffing/scheduling or healthcare administration (home care a plus).
- Organized, systems‑oriented, and comfortable managing time‑sensitive tasks.
- Clear, professional communicator by phone, text, and email.
- Proficient with scheduling platforms, spreadsheets, and job boards.
Hours: Monday–Friday, 8:00 a.m.–5:00 p.m. (on‑call rotation shared with management).
Note: The Recruiting Manager owns hiring, interviewing, training, background checks, and personnel file management; the Staffing Manager’s primary accountability is schedule quality, problem solving, case coordination, and communication.
