Responsibilities
- Welcome patients and their families with a friendly, energetic demeanor, ensuring they feel comfortable and informed about their treatment plans
- Schedule appointments efficiently using patient management software and coordinate follow-up visits to maintain treatment continuity
- Educate patients on orthodontic procedures, care instructions, and financial options with clear, positive communication
- Manage patient records accurately within electronic health records (EHR) systems while maintaining strict confidentiality in accordance with health regulation policies
- Verify insurance coverage, process claims, and explain financial arrangements to patients in a transparent manner
- Answer phone calls promptly, addressing patient inquiries regarding appointments, treatment options, or billing issues with professionalism and clarity
- Collaborate with the dental team to ensure compliance with health regulations and maintain high standards of medical administrative support
Qualifications
- Proven experience in a medical office setting, preferably within dental or orthodontic practices
- Proficiency in Microsoft Office applications such as Word and Excel for documentation and scheduling purposes
- Knowledge of health regulation policies related to patient privacy and confidentiality (e.g., HIPAA compliance)
- Familiarity with patient management software and electronic health records (EHR) systems for efficient data entry and retrieval
- Strong customer service skills with the ability to communicate effectively over the phone and in person
- Understanding of medical terminology relevant to orthodontics and general dentistry
- Ability to handle sensitive information discreetly while maintaining accuracy in documentation
- Experience in health insurance processing, claims submission, and explaining coverage options is highly desirable
- Excellent organizational skills including typing speed and attention to detail for managing patient files and correspondence
