About This Role


Join our dynamic team as a Community & Office Manager where you'll be the heartbeat of our vibrant AI-focused member community! This role is primarily focused on fostering meaningful connections, creating engaging experiences, and building a thriving ecosystem where AI pioneers collaborate and innovate. You'll also ensure our space runs smoothly with light operational oversight.


We're looking for a natural connector and community builder who thrives on bringing people together and creating memorable experiences. You'll be the face of our community, cultivating relationships, sparking collaborations, and ensuring every member feels valued and engaged.


This is a full-time, onsite Monday-Friday role based in our San Francisco location. You'll spend most of your time engaging with members, planning events, and building community connections. Evening hours required for special events.


What You'll Do


Community Building & Engagement (Primary Focus):

·       Build and nurture deep relationships with members, serving as their trusted advocate and primary point of contact

·       Proactively engage with members daily to understand their needs, goals, and how they can benefit from the community

·       Facilitate introductions and networking opportunities to help members find collaborators, mentors, and business partners

·       Manage member communications through newsletters, social media, and internal platforms to keep the community engaged and informed

·       Gather and act on member feedback to continuously improve the community experience

·       Serve as a bridge between members and external AI ecosystem partners, investors, and thought leaders


Events & Programming:

·       Design, plan, and execute a robust calendar of member events including speaker series, networking sessions, and social gatherings

·       Curate programming that addresses member interests in AI research, startups, technology trends, and professional development

·       Partner with external speakers, facilitators, AI researchers, and industry leaders to bring valuable content to the community

·       Coordinate logistics for both internal and external events, including catering, A/V setup, and attendee management

·       Track event attendance and collect feedback to refine programming and maximize member engagement

·       Identify opportunities for member-led workshops and presentations to showcase community expertise


Member Experience & Support:

·       Manage front desk operations and greet visitors, members, and guests with warmth and professionalism

·       Welcome and onboard new members with personalized facility tours, introductions to other members, and integration into the community

·       Serve as the go-to resource for member questions, concerns, and needs with a solutions-oriented approach

·       Respond to member inquiries across all channels (in-person, email, phone) in a timely and helpful manner

·       Address member concerns and resolve conflicts diplomatically to maintain a positive community environment


Office Operations & Facilities (Supporting Role):

  • Oversee daily operations ensuring a clean, functional, and welcoming coworking environment
  • Proactively identify and resolve operational issues before they impact members
  • Coordinate with maintenance staff and vendors for timely repairs and facility upgrades
  • Manage inventory for kitchen supplies, stationery, and office equipment
  • Maintain security systems, access controls, and general workspace upkeep
  • Troubleshoot and resolve basic network connectivity issues, printer problems, and other tech-related challenges

Key Qualifications:

·       Community Builder - Natural relationship-builder who genuinely enjoys connecting with people and fostering a sense of belonging

·       Event Planning Experience - Proven track record of designing and executing engaging community events and programming

·       Communication Skills - Strong interpersonal and verbal/written communication skills for answering member questions and engaging with external partners

  • Self-Starter Mentality - Self-motivated professional who proactively anticipates member needs and takes ownership of challenges
  • Problem-Solving Mindset - Natural troubleshooter who takes initiative to identify issues and implement solutions quickly and efficiently

·       Marketing & Branding Insight - Understanding of growth strategies and marketing tactics to expand the coworking community

  • Tech-Savvy - Proficient with coworking management tools, social media, and office software suites (e.g., Microsoft Office, Google Suite)
  • Organization - Ability to manage multiple priorities while maintaining smooth operations and responding to urgent member needs


Requirements:

·       2-3 years in community management, member engagement, hospitality, or related field

·       Previous co-working, shared workspace, or membership community experience strongly preferred

·       Demonstrated success building and growing engaged communities

·       Event planning and programming experience required

·       Experience working with tech, startup, or AI communities is a plus

  • Demonstrated ability to work independently and take initiative
