Purchaser Job Description
The Purchaser plays a critical role in the smooth operation of the Maintenance Department by managing procurement activities, maintaining databases, and coordinating vendor relationships.
Key Responsibilities:
- Create and process purchase orders in SAP for materials, parts, and services required by various departments.
- Generate service purchase orders in SAP for labor to ensure timely delivery.
- Process invoices related to materials and labor in SAP, ensuring proper documentation and submission to accounting for payment.
- Monitor and track non-purchase order invoices, ensuring proper submission to accounting for payment.
- Maintain up-to-date databases of vendors and suppliers, including records of licenses and certifications.
- Establish effective communication channels with suppliers to ensure timely procurement and delivery of critical items.
- Work with accounting and maintenance departments on project and WBS code creation.
- Make comparisons to recommend the best vendors based on cost-quality relations.
- Expedite orders when necessary and manage expedites to eliminate emergency surcharges.
- Update safety agreements and insurance policies with vendors annually.
Additional Duties:
- Provide support in response to requests for maintenance, repair, operations equipment, and services.
- Maintain good relations with suppliers and vendors.
- Assist maintenance teams with scheduling purchases and deliveries.
- Monitor and maintain inventory levels of parts, tools, and equipment.
- Work with maintenance teams to schedule and plan maintenance projects and work orders.
- Implement and maintain the eMaint system for tracking preventive maintenance, parts, and work orders.
Requirements:
- Experience with procurement and purchase order systems, specifically SAP.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Familiarity with vendor management and supply chain operations.
- Strong communication skills to collaborate effectively with internal departments and external vendors.
- Attention to detail and problem-solving skills in a high-paced maintenance environment.
