JOB DESCRIPTION 

Order Management Specialist and Office Administrator  


Summary/Objective  

Our Order Management Department with a high volume of orders each day serving as a liaison between our clients and our customers.   Accurate and timely purchase order processing is a top priority in our organization.  Our OM team works closely with our clients, customers, and internal managers to provide excellence in service.  Our Order Management Department and Office Administrator report to the Financial Operations Director.   


Essential Functions: 

  • Maintain Customer Service Mailbox 
  • Sort and file orders in proper email folders. 
  • Forward emails for CS follow up. 
  • Match and maintain electronic order attachments. 
  • Match confirmations and correspondence and attach to proper order within MCS. 
  • Manage Invoices and Direct Orders 
  • Download direct orders from various systems.  
  • Assist with direct order entry as needed. 
  • Review and sort invoices - match with PO or enter as direct order as required. 
  • Backup CS during high order volume days and vacations. 


In addition, this role will act as receptionist for the office with duties including:  


  • Greet and direct visitors. 
  • Answer and direct phone calls. 
  • Sort and deliver mail. 
  • Assist with check deposits 
  • Kitchen Duties 
  • Unload the dishwasher each morning and start dishwasher in the evening. 
  • Wipe down counter tops at the end of the day. 
  • Communicate cleanliness issues to the staff. 
  • Maintain organization of Common Areas 
  • Conference rooms prepared prior to meetings and reorganized after 
  • Maintain file and supply area by monitoring supply needs and keeping area neat. 
  • Place supply orders as needed. 
  • Receive and log deliveries including unpacking and maintaining organization of the samples in our storage suite.  
  • Liaison with building maintenance for office needs 
  • Assist with corporate event planning. 
  • Company Announcements 
  • Various monthly maintenance and reporting requirements within Monday.com

Compensation

$25.00 per hour


Schedule:

Monday – Friday | 8:30 AM – 5:00 PM
