HMIS is seeking an organized and detail-oriented Human Resources Administrative Support Specialist to join our team supporting personnel absence and claims management for FMLA, Workers' Compensation, Disability, and related programs. This position is responsible for processing documentation, maintaining confidential case records, scheduling, assisting Subject Matter Experts (SMEs), and providing excellent customer service. This position is responsible for processing documentation, maintaining confidential case records, scheduling, assisting Subject Matter Experts (SMEs), and providing excellent customer service. Primary Duties And Responsibilities
- Process and track incoming documentation for Family Medical Leave Act (FMLA), Paid Family Medical Leave (PFML), Workers' Compensation, and Disability cases.
- Perform Integrated Document Management System (IDMS) data entry with accuracy and timeliness.
- Initiate, maintain, and update confidential case files and records.
- Schedule meetings and appointments for SMEs with employees and external parties.
- Prepare routine correspondence such as letters, emails, and memos.
- Assist in distribution of forms, information, and educational materials.
- Enter and review data in relevant tracking systems and databases.
- Compile and generate periodic reports to support program activity and compliance.
- Maintain office filing and record retention systems in accordance with company policy.
- Order office supplies and manage resource inventories for SMEs.
- Provide supportive customer service and guidance for initial inquiries regarding leave and claims.
- Support special projects, such as organizing training sessions, logistics, or audit preparation.
- Complete mailings, including certified mail, as requested.
- Retrieve Employee Job Tasks Analyses (EJTAs) and other paperwork as needed.
- Complete Return-to-Work (RTW) processing, including Contractor Information Management System (CIMS), training, badging, etc.
- Perform other duties as assigned.
- High school diploma plus minimum of 8 years of experience -OR- an equivalent combination of education and related experience.
- Excellent customer service skills.
- Experience in administrative support or office environment.
- Beginner to intermediate knowledge in Microsoft Word, Excel and Outlook.
