The Role
We’re hiring a Retreats Manager to support planning, logistics, communications, and occasional on-site support for Hampton’s annual retreats.
This role is perfect for someone highly organized, detail-oriented, proactive in planning steps ahead, hospitality-minded design and excited to bring unique experiences to life. You’ll work closely with the Head of Retreats, translating vision into detailed research and seamless execution.
This is an operations-forward role, not strategy, curriculum, or facilitation, with major ownership over how retreats are planned, coordinated, delivered, and experienced by members.
Key Responsibilities
Retreat Planning & Execution (80%)
- Build project plans, timelines, and run-of-shows for all retreats
- Coordinate logistics: rooming lists, transportation, F&B, schedules, materials, vendors
- Manage communication with venues, facilitators, chefs, guides, and local partners
- Conduct research to support venue sourcing, facilitator sourcing, and programming options
- Maintain organized tracking across budgets, timelines, and vendor deliverables
- Travel ~8–10x per year for site visits and/or retreats
- If onsite: Support all onsite operations, including setup, transitions, vendor coordination, troubleshooting, and feedback capture
- Be a warm, professional presence for members throughout the retreat
Marketing & Communications (10%)
- Draft and send member-facing communications (confirmations, Slack posts, schedules, emails)
- Build welcome packets, signage, and pre-arrival materials
- Ensure communication is timely, polished, and aligned with Hampton’s tone
Iteration & Internal Systems (10%)
- Capture learnings from each retreat and update processes, checklists, and SOPs
- Help strengthen internal operations and improve efficiency across retreats
Who You Are
- 5 years of experience in event production
- Have run multi-day, high-touch events with 20–50 attendees
- Exceptionally strong in logistics, you think three steps ahead, anticipate needs, and break every task down into the full chain of dependencies.
- You love structure. Timelines, run-of-shows, checklists, and operational clarity are your happy place.
- Calm under pressure with excellent judgment, especially in fast-moving, founder-heavy environments
- Service-oriented, you understand how little details dramatically shape member experience
- Comfortable in-office weekly and excited to travel ~8–10x/year
- Strong with Google Sheets and exceptionally organized in Notion, Asana, Slack, and Typeform
