Job Summary:
The Administrative Assistant to the Head of School plays a critical role in supporting the Head
of School and ensuring the efficient operation of the school’s leadership office. This position
requires a highly organized, detail-oriented, and professional individual who can manage
multiple tasks and maintain confidentiality. The Administrative Assistant is a key liaison
between the Head of School, Board of Trustees, faculty, staff, students, parents, and external
stakeholders.
Key Responsibilities:
Provide high-level administrative support to the Head of School, including managing
correspondence, scheduling appointments, and organizing meetings.
Serve as the primary point of contact for internal and external communications directed
to the Head of School’s office.
Maintain the Head of School’s calendar, ensuring effective time management and
prioritization of tasks.
Prepare and edit reports, presentations, and other documents as needed.
Coordinate Board of Trustees meetings, including agenda preparation, meeting minutes,
and distribution of materials.
Handle confidential information with discretion and professionalism.
Work closely with the Advancement Department to assist with event planning and
coordination for school functions, professional development sessions, and special
projects.
Support faculty and staff with administrative requests and serve as a resource for school
policies and procedures.
Oversee travel arrangements and reimbursements for the Head of School.
Serve as a welcoming presence in the Head of School’s office, greeting visitors and
ensuring a hospitable environment.
Qualifications:
Bachelor’s degree preferred, or equivalent experience in administrative support.
Minimum of 3-5 years of experience in an administrative role, preferably in an
educational or nonprofit setting.
Professional demeanor with a high level of discretion and integrity.
Exceptional organizational and time management skills with the ability to prioritize tasks
effectively.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Blackbaud
and Google Workspace.
Experience with database management and school administrative software is a plus.
Ability to work independently, exercise sound judgment, and maintain confidentiality.
Excellent interpersonal skills and the ability to work collaboratively with diverse
stakeholders.

Occasional evening or weekend hours may be required for school events or meetings.
