Job Summary
We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and computer literacy will ensure smooth office management, supporting daily administrative functions with efficiency and enthusiasm. Duties

  • Greet visitors warmly and direct them appropriately, ensuring a friendly and professional first impression
  • Answer multi-line phone systems promptly, using proper phone etiquette to assist callers or transfer calls efficiently
  • Manage appointment scheduling and calendar management for staff or professionals within the organization
  • Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace tools
  • Handle incoming and outgoing correspondence, including proofreading documents for accuracy and clarity
  • Support office management tasks such as supply ordering, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Provide customer support by addressing inquiries via phone or email, ensuring excellent service at all times

Qualifications

  • Proven experience in office management, clerical work, or as a receptionist with strong organizational skills
  • Excellent computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry processes
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills along with attention to detail for proofreading and document accuracy
  • Previous experience in dental or medical reception is a plus but not required; relevant personal assistant experience is beneficial
  • Demonstrated ability to manage time efficiently while handling multiple tasks simultaneously
  • Customer service orientation with a friendly demeanor and professional appearance
