Duties
- Greet members and visitors warmly, creating a friendly and professional atmosphere at the front desk
- Manage multi-line phone systems, answer inquiries, direct calls efficiently, and provide accurate information
- Handle office management tasks such as scheduling appointments, maintaining calendars, and organizing files
- Support administrative functions including data entry, proofreading documents, and managing correspondence
- Assist with client communication by responding promptly to questions or concerns via email or phone
- Opening and/or closing of the shop, giving tours to new clients, checking out appointments, selling memberships, and other services as requested.
- Maintain office supplies inventory, process invoices using Zenoti or similar bookkeeping software, and handle basic bookkeeping tasks
- Coordinate with team members to ensure smooth daily operations and uphold high standards of customer support
Skills
- Bilingual proficiency to effectively communicate with diverse members and visitors
- Strong office management experience with excellent organizational skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Demonstrated computer literacy including data entry, word processing, and general clerical skills
- Exceptional customer service abilities with excellent phone etiquette and reception skills
- Experience with multi-line phone systems and front desk operations
- Knowledge of QuickBooks or similar bookkeeping software for basic financial tasks
- Effective time management skills to prioritize tasks efficiently in a fast-paced environment
- Personal assistant experience or calendar management expertise preferred
- Attention to detail for proofreading documents and maintaining accurate records
