What are the responsibilities and job description for the Treatment Coordinator position at Hamblin Family Dentistry?
TREATMENT COORDINATOR — Hamblin Family Dentistry
Full-Time • Houston, TX • Out-of-Network Private Practice
THE PROBLEM WITH MOST TC JOBS
Most treatment coordinators are stuck in the same broken cycle:
You’re expected to close without any tools.
No financial menu. No structured conversation. You’re handed a treatment plan and told to figure it out — then questioned when patients don’t say yes.
You were never actually trained.
You learned by watching someone else wing it. Nobody sat down with you and taught you how to present a $15,000 case. You’ve been doing your best with what you picked up along the way.
There’s no place to go.
Treatment Coordinator is the ceiling. You’re good at what you do, but the role has no runway. You’ve thought about what’s next and come up empty.
The culture is exhausting.
Gossip. Cliques. Drama that follows you home. You spend as much energy navigating the team as you do serving patients — and you’re tired of it.
HOW WE DO IT DIFFERENTLY
Hamblin Family Dentistry is a high-producing, fully out-of-network private practice in the Memorial / Spring Branch / Katy area. We didn’t build this practice by accident, and we don’t hire by accident either.
Here’s what you’re walking into:
• A financial menu that does the heavy lifting. You’re not improvising. You have a structured system for presenting options, handling objections, and guiding patients to yes — with confidence.
• Real training from day one. We invest in the people we bring on. You’ll be developed, coached, and given feedback that actually makes you better.
• Hours that give you your life back. We run 7AM–4PM. You’re home by dinner every night. Nobody works more than 40 hours a week. Your evenings are yours.
• A culture we protect on purpose. No gossip. No internal drama. No cliques. We’ve built something here that most dental offices never achieve — and we guard it carefully. That means we’re selective about who joins it.
• A growth path with no ceiling. Our current Director of Operations started as a Treatment Coordinator. We don’t hire people to stay put. If you want to grow inside this organization, the path is real and it’s open.
WHAT YOUR LIFE LOOKS LIKE HERE
Twelve months from now, here’s what changes:
• You’re the closer. You guide patients from diagnosis to yes with a system behind you and a team that sets you up to succeed.
• You have a dashboard, not a gut feeling. Acceptance rate, case production, follow-through — your numbers are tracked, reviewed, and used to make you better. You always know where you stand.
• You’re compensated like a contributor, not a commodity. Competitive base pay plus a performance bonus that rewards what you actually produce. The better you get, the more you make.
• You’re home by 4. Every day. No exceptions. You made dinner. You caught the game. You didn’t think about work until Monday.
• You can see what’s next. Whether that’s mastering the TC role, moving into leadership, or building toward something bigger — the organization grows with you.
This is not a role for someone who wants to show up, do the minimum, and collect a paycheck. We’ve built something worth protecting and we’re looking for someone who wants to be part of building it further.
WHAT YOU’LL OWN
• Present comprehensive treatment plans with clarity, confidence, and urgency
• Manage unscheduled treatment follow-up — warm and cold lead tracks
• Coordinate with the clinical team for smooth patient handoffs
• Track and own your personal acceptance rate and production numbers weekly
• Handle financial arrangements and third-party financing conversations
• Attend weekly leadership KPI reviews
WHAT WE’RE LOOKING FOR
• 2 years of dental treatment coordination or real life sales experience
• Comfort presenting $3,000–$30,000 treatment plans without flinching
• Familiarity with third-party financing (Cherry, Sunbit, or similar)
• Strong communicator — in person, by phone, and in writing
• Someone who wants to grow, not just show up
• Open Dental experience is a plus — not required
A NOTE ON FIT
We are selective. We protect our culture the same way we protect our patients — with intention. If you’re the kind of person who thrives on accountability, pushes yourself without being told to, and wants to build something you’re proud of, keep reading.
If you’re looking for a place to coast, this isn’t it. And that’s okay — it’s just not us.
